As we continue to grow, we're on the lookout for dynamic and enthusiastic individuals to join our team and contribute to our legacy of excellence. We are looking for a passionate and proactive Personal Assistant/ Team Coordinator to support our CEO and executive team at our Ballarat head office.
What will you need to do?
CEO and board Support:
Efficiently manage the CEO's diary and travel arrangements.
Prepare / collate monthly Board Reporting Packs, Quarterly Board packs and sub committee reporting
Prepare documentation for respective sub committees as required
Support leadership team with the preparation of strategic documents and plans
Coordinating meeting locations, invitations and catering
Prepare meeting agendas taking minutes
Book and coordinate board travel and accommodation
Proactive management of family diaries for Haymes team
Support the follow up and completion of outstanding actions from board meetings
Administration support to the Haymes Family
Executive team coordination and administration:
Support key members of the executive team with Diary management and admin support
Supporting the maintenance and review of governance documentation
Proactive management of incoming outgoing communication between Haymes family and internal team and external customers/stakeholders
Storage and maintenance of Corporate documents
Oversee the coordination of timing & delivery of business Christmas functions
Support delivery of Business conferences
Coordination and support of weekend events and stakeholder meetings, as necessary.
What do you need to have?
Board and CEO Support experience
Proven experience in providing comprehensive support to board members and executives
A high level of initiative and an ability to proactively identify opportunities for improvement Demonstrated experience in effectively managing daytoday office
related activities of the senior executive
Exceptional interpersonal and communication skills to professionally engage with internal and external stakeholders
Excellent organizational and time management skills with excellent attention to detail.
Ability to work collaboratively as part of a team and independently with minimal supervision.
