Executive Assistant

  • Permanent full-time role

  • Seeking a seasoned EA with demonstrated Senior Executive support experience

How will I help?


A fast-paced role supporting the Consumer, COO General Manager. This role will see you provide support to the General Manager by delivering efficient and effective coordination of all office functions including preparation of daily reading packs, coordination of pre-reads and documents to support meeting preparation, diary and email management, forward planning, all administration processes, with a strong knowledge of Westpac systems; as well as general support to the leadership team in coordinating activities, payment of invoices, recruitment, and onboarding.

You will operate as a trusted advisor to ensure the smooth coordination and management of the General Manager.

Your responsibilities will include but not limited to:

  • Collation of pre-reading/documents ready for all meetings
  • Diary management for the General Manager, including coordination of all meetings/conferences and preparation of agendas/.
  • Email management and prioritisation, ensuring alignment with the General Manager’s priorities
  • Coordination of leadership team key meetings, including forward planning, the preparation of agendas, taking of accurate and timely minutes, and assistance with presentation material
  • Prompt handling of internal and external stakeholder requests
  • Provide support to the wider team including management of forward planner/team calendar, communication management, running reports, leave management tracking, key document governance and storage, and other deliverables as required.
  • Build relationships across the Westpac Group, to drive the CCS FCFP business unit’s priorities and maintain a strong network with stakeholders and colleagues 
  • Reconciling and processing all accounts in a timely and compliant manner, including invoice approvals (Weaps, Ebuy, Coupa), P-cards and other charges 
  • General day-to-day office management support for the General Manager and leadership team, including approval (as delegated) for WEAPS staff reimbursements, IT requests in IT Store, PeopleHQ leave approval, User Access Requirements and eAcademy Learning requests and compliance reporting.
  • Update and maintain the team organisational charts and distribution lists, ensuring these are accurately reflected in the People Directory.
  • Property/workpoint co-ordination and team seating allocations
  • Ensure target team culture is consistently reflected, as a representative of the General Manager.

What do I need?

  • Significant and demonstrated Executive Assistant experience supporting senior Executives at large GM/EGM level.
  • Strong attention to detail and organisational skills
  • Advanced diary and email management skills 
  • Strong PC literacy (MS Office: Word, PowerPoint, Excel, Teams, SharePoint and OneNote).
  • Excellent oral and written communication skills.
  • Strong knowledge of Westpac systems and processes – People HQ, Weaps, Ebuy, Coupa, Promaster
  • Ability to work autonomously and as part of a team, liaising with all levels of the Business and our customers.
  • Ability to build strong stakeholder relationships and represent the CTO culture and brand positively is a must. 
  • Adaptability and flexibility.
  • Strong planning and the ability to manage multiple tasks at any given time.
  • Proactive and willing to pitch in to get the job done.
  • This role requires presence in the office at a minimum 2-3 days per week, with the ability for hybrid working on the remaining days.
