THE ROLE

Hallett group is seeking a highly organised and proactive Executive Assistant to support our CEO and Senior Management Team. As an Executive Assistant you will anticipate needs, think critically, identify solutions, and provide comprehensive support, whilst approaching all tasks with a high level of professionalism and confidentiality.

In this role you will:

  • Act as a liaison and provide support to the Senior Management team by handling incoming and outgoing phone calls, emails and correspondence as required.
  • Provide sophisticated calendar management for the CEO, by prioritising inquiries and requests while troubleshooting conflicts, whilst making judgements and recommendations to ensure smooth day-to-day engagements.
  • Coordinate all logistics for travel, meetings and staff events (including but not limited to arranging flights/accommodation, scheduling meetings/drafting agendas/taking minutes, booking venues/organising catering etc).
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, reports, conducting research and compiling data.
  • Undertake general administration duties such as filing, scanning, photocopying, mail etc
  • Strive to improve the effectiveness and efficiency of the CEO and senior management team

To be successful in this role you will:

  • Proven experience as an Executive Assistant
  • Exceptional verbal and written communication skills, with a keen eye for detail.
  • Excellent organizational and time management skills, with the ability to prioritize and handle multiple tasks simultaneously.
  • Proficient in using Microsoft Office Suite and other relevant software.
  • Strong interpersonal skills and the ability to build positive working relationships with senior leaders, staff and major clients.
  • Ability to maintain confidentiality and exercise discretion in all matters.
  • Ability to work independently to complete a high volume of tasks and projects with little or no guidance.
  • The commitment to push through challenges and get the job done.
