You will play a crucial part delivering senior executive administrative support to our Chief Operating Officer to deliver exceptional outcomes for our members. The opportunity
We are seeking a dynamic and driven individual to join our team as an Executive Assistant. In this role, you will be responsible for providing day-to-day assistance and support to our newly appointed Chief Operating Officer in the following key areas: diary and calendar management, coordination of board reporting, information management, record keeping and operational reporting and project support.
As an Executive Assistant, you will be the backbone of the organisation, ensuring that everything runs smoothly and efficiently and work as part of the EA team to support the CEO office and other Executives when required. You will be responsible for managing the schedules of our top executives, coordinating and collating reports for board meetings, and providing operational support for key projects. You will also be responsible for maintaining accurate records and managing information to ensure that our executives have the information they need to make informed decisions.
- Acting as the central point for the Chief Operating Officer (& Group Executives,) creating an environment in which the COO/GE's office is approachable, professional, and highly effective.
- Managing all requests for the COO/GE's including management of Outlook into calendar and inbox, of appointments, active management of the day to day running of the department, deliverable tasks and administration, prioritisation of all internal and external communications and direct enquiries.
- Responding to information requests from stakeholders both inside and outside Hostplus, including processing invoices, ordering digital cab charges and coordinating responses on a wide variety of critical business documents and directly acting upon issues that arise within delegation.
- Assist with the organisation of meetings for the Chief/GE's and taking minutes where required.
- Preparing correspondence and responses for the Chief/GE's signature working as needed with the Leadership Team.
- Coordination and distribution of papers for Board Meetings and Committee Meetings.
- Maintain filing system and records management on behalf of the Chief/GE's.
- Provide assistance with budget tracking.
- Strong experience as an EA to a Senior Executive and ideally within the financial services industry
- Outstanding interpersonal skills with demonstrated ability to build rapport and interact effectively at all levels of an organisation.
- Exceptional organisational and time management skills, with an ability to prioritise tasks, meet deadlines, and concurrently balance competing priorities.
- Exceptional communication and negotiation skills
- Strategic thinker who is results orientated
- A relevant qualification in Business or related area, highly desirable, but not essential
