The Executive Officer is responsible for providing executive, governance and secretariat support to a range of high-level committees and working groups chaired by the Pro Vice-Chancellor or overseen by the Office of PVC. In this role you will also assist the PVC with fulfilling his governance obligations as a member of other committees/working groups not overseen by the Office of PVC.
Our client is one of the largest universities in Sydney and they are looking at increasing their administrative team due to increased demand from natural growth. This role is initially going to be a 6-7 month contract position with the view to likely extended.
About the role:
- Provide secretariat support to Office of PVC committees and working groups. This will include preparing agendas, collating meeting papers, taking minutes of meetings, maintaining the actions list, and liaising with stakeholders to ensure completion of action items.
- Manage all logistical aspects of holding a successful meeting including: Liaising effectively with authors of agenda material, the chair and members of committees in regards to the agenda content, papers and reports, subsequent actions, resolutions and developing and distributing written reports
- Providing a quality approach to capture, storage and communication of key Committee resolutions, decisions and actions
- maintaining accurate committee records for example files, membership lists, contact details, terms of reference, decisions, using electronic information systems
- implementing communication strategies for Committee decisions and activities
- Assist the PVC with personal committee obligations, such as drafting reports and progressing actions items.
- Liaise with the Governance Support Unit and other senior stakeholders as required in providing secretariat support.
