Our client is seeking a dedicated and meticulous Executive Support Officer to provide high-quality, confidential support to the Executive Director. This role requires an individual who can handle a variety of tasks, from examining incoming correspondence and determining required action, to coordinating responses to a range of enquiries. Key Responsibilities:
- Examine incoming correspondence, determine required action and prepare appropriate responses
- Coordinate, prepare and provide responses to enquiries received via telephone, email and post
- Assist with the coordination and preparation of Ministerial, Director-General, Commissioner and Parliamentary documents
- Ensure the accuracy of information and timeliness of executive correspondence and reports
- Schedule and plan meetings, forums and events; manage travel arrangements; organise catering as required
- Provide secretariat support including the preparation and distribution of agendas, minutes and action lists
Key Requirements:
- Experience working within the public sector is highly desirable
- Proven experience in providing high-level Executive Support
- Strong organisational skills with the ability to manage multiple tasks simultaneously
- Excellent communication skills both written and verbal
- Ability to maintain confidentiality and handle sensitive information with discretion
- Proficiency in using Mincor and other government records management systems
- Experience in coordinating meetings, forums and events
