About the role
The Executive Support Officer is responsible for providing proactive administrative support to the CEO’s Office, the Manager of Council & Executive Services and to the broader Council & Executive Services department to enable effective delivery of both departments’ objectives.
Work type: Temporary Full Time
Classification: Band 6 $90,263 - $97,365 (pa plus super)
Key responsibilities include:
- Deliver a range of day-to-day department administrative activities, proactively and effectively within agreed timelines, such as:
- Provide support to the CEO’s office working along side the Executive Assistant to the CEO.
- Coordinate and support the running of department meetings and functions or events.
- Monitor and coordinate department correspondence, workflows and record keeping.
- Provide essential individual support to the Manager and assist with diary and email management and preparation of management reports.
- Organise and Coordinate the Executive Leadership Team weekly forum, including scheduling, agenda creation and presentation collation and distribution. Support the Executive Assistant to the CEO with ELT weekly forum minutes and action item follow-up.
- Assist the Department in the processing of purchase orders and receipts.
- Assist the Manager with ad-hoc assignments including fact finding/information collation, preparing proposals and presentations.
- Coordinate and support Councillor portfolio meetings and advisory committees as relevant to the department.
About you
To be successful in this role, you will have demonstrated experience in an administration support position.
- Well-developed people skills to support, influence, and collaborate with relevant stakeholders.
- Excellent communication skills - written and verbal.
- Strong attention to detail.
- Ability for critical and analytical thinking and problem solving.
- Strong stakeholder management skills or ability to work effectively with diverse stakeholders to achieve task outcomes.
