Our client is a leading diversified financial services business with operations across Australia and New Zealand and a team of roughly 500 in Australia, across Melbourne and Sydney.
The aim of the role is to provide high level organisational and administrative support for the Executive Leadership Team, with diary management, general day to day ad hoc tasks and with a need to streamline general procurement requirements across all Australian offices.
Responsibilities
- Provide direct day-to-day support to Executive Leadership Team including diary and email management, document preparation and event coordination.
- Organise and manage Executive Team meetings, special events and actions logs.
- Assist in the preparation of reports, memos, letters and other documents, using word processing, spreadsheet, database or presentation software.
- Conduct checks of documents and submissions to ensure accuracy and quality presentation.
- Liaise with the business and external parties on behalf of ELT.
- Build relationships within the business & external parties.
- Co-ordinate travel and Expense reconciliation.
Office Management
- Oversee general office management in conjunction with the building managers and external suppliers.
- Streamline office procurement in alignment with internal policies and commitments.
- Assist the Group with event and employee initiative coordination.
Qualifications, Knowledge & Experience
- Advanced proficiency in MS Office Suite: PowerPoint, Excel, Word and Outlook.
- Exceptional written and oral communication skills
- Experience as an Executive Assistant and/or in Office Management and Procurement.
- Excellent organisational and time management skills, with the ability to prioritise tasks effectively
- Strong attention to detail and accuracy in work
- Discretion and professionalism in handling confidential information.
- Adaptability and flexibility to respond to changing priorities and deadlines
- Knowledge of diary management, corporate travel, office administration and facilities management

Initially a temporary role due to the need to get someone in quickly, there is every chance that for the right candidate this role could go permanent. You need to be a great communicator and someone who is confident in self-managing.
