Along with the Practice Manager and another Solicitor, you will be the first point of contact for our clients and guests both over the phone and in person at our North Brisbane based offices. You will be ideally based in the North Brisbane area and looking to avoid the city commute. You will also be responsible for providing secretarial and other administrative support to our solicitors and ensuring the smooth day to day functioning of the office.
This is an ideal role for a career paralegal looking to work outside of the city (Northern Suburbs) within a highly respected, progressive and vibrant small team.
Responsibilities
- Client Service and retention - taking phone enquiries, and managing bookings and follow ups, ensuring the general presentation of the office during appointments and general care of clients including greeting and offering refreshments during meetings.
- General secretarial support including diary and file administration of multiple solicitors.
- Liaising with and co-ordinating meetings, engagement and administrative support between clients, lawyers, barristers, mediators and other experts when required, via phone, email, teams or in person.
- Managing the administration of our client engagement, feedback and retention processes.
- Drafting documents and forms using the firms precedent base and resources.
- Following systems and workflows to manage, allocate and complete tasks.
- File administration (opening and closing files), data entry and organisation of and indexing of documents (hard copy and electronic).
- Assisting with invoicing, receipting, payments and organising, follow up and collection of retainer funds and outstanding accounts.
- Ensuring the office is fully equipped, cleaned and maintained to facilitate day-to-day business.
- Other duties including scanning, printing and collating documents, photocopying, filing, archiving, mail run, deliveries, errands etc.
Experience
- Family Law - Legal administration experience (preferred but not essential).
- Office administration experience essential.
- A professional calm manner and approach.
- Excellent communication (written and verbal) skills.
- Strong organisational skills (essential).
- Attention to detail with the ability to follow instructions.
- The ability to manage your time and work efficiently in an environment of competing demands and deadlines is essential.
- Ability to work effectively and supportively in a team environment.
- The ability to prioritize, focus and attend to allocated tasks autonomously with minimal supervision.
- Proof reading and editing skills and a solid grasp on the English language is essential;
- Bring a proactive and enthusiastic attitude to work daily.
- Excellent Microsoft Word, Excel, and Outlook skills are essential.
- Openness and willingness to learn, continue to learn, adopt, trial and implement technology in the workplace (essential).
- Basic bookkeeping/accounts (Xero) knowledge beneficial but not essential.
- Previous experience with the following software/programs is beneficial but not essential - Smokeball, Youcanbookme, Facebook.
The Position
- Full Time in office position.
- Monday to Friday 8.30am to 5.00pm.
- Position will be based in our North Lakes office. (Please note potential office relocation mid year will be within 5kms of the existing North Lakes office).
- Available for start 9 April 2024.
- Remuneration ($50,000 – $80,000) dependent upon experience.
- Would suit experienced career paralegal however law students who can commit to full time hours will also be considered.
