Role summary
To provide support and assistance to ensure effective and practical day to day operations at the Agency for both Facilities and Reception. This includes efficient and effective customer service in relation to items raised through the Facilities Helpdesk, coordinating the outsourcing of repairs and maintenance work, maintaining stock levels for kitchens and utility areas, supervising the issue of security access cards, coordinating external contractors, close liaison with Building Management and other duties associated with the systems and procedures in place for the Facilities Team.
Organizational environment
The facilities Coordinator operates within the Property and Facilities team (PF) within the Enterprise Services Division of the Agency. This division is responsible for supporting the achievement of the Agency’s corporate strategies, policies, and procedures. This involves the delivery of various services to Agency’s internal clients and external stakeholders utilizing both internal and external resources.
Key accountabilities
- Contributing significantly to the smooth operation of the Facilities Team by anticipating and delivering timely and effective service
- Maintaining up to date and relevant knowledge of the premises and issues affecting the team
- Managing time and prioritizing workload given the diverse range of duties involved
- Multi-tasking and logistical problem solving
- Establishing and maintaining excellent working relationships with internal and external customers and suppliers
- Supporting the communication on a wide range of policies, procedures, guidelines, and norms
- Supporting the day-to-day operations of Sydney Reception to ensure responsibilities are carried out in an effective and professional manner.
- Addressing issues as they arise and when required, are brought to the attention of the Office Manager.
Knowledge and experienced required for effective performance
- Knowledge and understanding of Agency’s mission and objectives, functions, processes, and systems
- Excellent organisational, time management and prioritisation skills
- Experience with contributing to facility operations of an office
- Intermediate knowledge and experience with Microsoft Suites and data processing skills
- Strong sense of initiative to be able to identify areas of administrative improvement and take ownership of processes
- Experience and/or knowledge of office maintenance and repairs would be advantageous
- Knowledge of health and safety standards would be advantageous
- Commitment to providing outstanding customer service and demonstrate strong interpersonal skills
- High level of attention to detail and problem-solving skills
- Strong written and oral communication skills
- Experience in project administration would be advantageous
