About the role
As the Front Office Coordinator, you will be reporting directly to the Front Office Manager and Assistant Front Office Manager. Through performing your daily tasks with utmost professionalism and accuracy, you will help support our Front Office Team and Guest facing colleagues focus on delivering their main duties and responsibilities in an efficient manner through offering a smooth check in and check out experience for our guests, while ensuring a high level of service is maintained.
Your responsibilities will include
Participate in and review the daily hand-over tasks of the Rooms Division with FOM and AFOM
Manage and respond to all e-mails with relation to payment authorization
Ensure that all reservations are guaranteed and payments are correctly authorized before guests’ check in, through understanding the process of accepting payments, guarantee and authorization methods
Review the arrival, in-house and departure reports as well as same day reservations.
Maintain proper guest profile selection and profile merging tasks
Ensure routing instructions are updated and all guests’ requests are administered pre and post arrival
Manage and update all alerts functions in accordance with Hyatt Standards
Manage and update all cashier, reservations, and or other comments throughout the PMS
Administer paymaster accounts and traces pending balances
Follow up on all “checked out without closing folio” rooms
Learn how to manage the room inventory in the event the PMS is offline.
Complete daily checklist and carry out any additional duties as specified by the FOM/AFOM
To be considered for the role
Minimum 2 years’ experience in Front Office, Reservations or Corporate Travel (Essential)
Minimum 2 years’ experience within a fast paced environment (Essential)
Previous experience using Opera PMS (Preferred)
Previous experience using Reserve (Preferred)
Full Working rights in Australia (Essential)
