The Role
We are looking for a Front Office Manager to work two days per week. You will work closely with the practitioner to ensure the practice runs smoothly and to make patients feel welcome.

We are looking for someone who would like to work 2 days a week (must be Thursdays and Fridays) – note: usually 8 hour days but actual hours may vary depending on patient load) at our busy Chinese Medicine clinic located in Bairnsdale (3 hours drive from Melbourne).
The practitioner relies on the Front-Office Manager for the smooth running of the clinic.
The role includes the following:
- Answer phones
- Book and change appointments using the clinic software (training will be provided)
- Meet and greet patients
- Prepare paperwork for practitioners
- Scan all patient records
- Manage herb and supplement stocks
- Prepare herbs (training provided)
- Some cleaning as required
- Take payments and issue receipts (including HICAPS claims)
- Other admin and duties as required
The Skills You Will Need to Do Well in the Role
- Efficient administration – you must be able to work quickly, be fast and efficient in the use of a computer (documents, spreadsheet and the patient booking application – which you will receive training on), able to manage all of the patient paperwork and take payments using our HICAPS machine.
- Excellent people skills – you must be great at helping patients feel welcome at the clinic and make their experience an enjoyable one.
- Reasonable maths skills – you must be able to calculate percentages in your head (eg. know what a calculation of 20% of 150 is) and be confident handling payments and cash and working out change if required. If this seems basic to you, then you have the maths skills required.
- Multitask and work quickly – you must have the capacity to handle and prioritise many competing priorities at once (eg. greeting patients, taking payments and booking, producing paperwork and taking phone calls.
Remuneration
- Casual position (two days per week - Thursdays and Fridays)
- $35/hour
