Overview
Seeking a dynamic Head of Operations to lead and optimize our dental practices across D-Group, including Dental Lounge, Sydney Implant Institute, and Dental 99. This role demands a strategic thinker with exceptional leadership skills, a passion for excellence in patient care, and a proven track record in operational efficiency and team management.
Duties/Responsibilities
- As part of the executive team, prepare/agree on business strategy to meet company KPI’s and Goals
- Translate the business strategy into actionable goals for performance and growth
- Executive team meetings
- Reporting on the practice performance identifying any areas of concern/success
- Oversee operations and employee productivity, building a highly inclusive culture ensuring team members thrive and organizational outcomes are met
- Ensure effective recruiting, onboarding, professional development, performance management, and retention
- Adhere to company, federal, state, and local business requirements, enforcing compliance and taking action when necessary
- Overseeing the daily business and administrative operations and improving operating procedures for optimal efficiency
- Assessing and enhancing the efficiency of internal and external operational processes
- Leading and motivating staff to achieve sales and organizational objectives
- Mentoring and inspiring employees to key into the vision of management
- Establishing policies that improve and promote company vision and culture
- Evaluating company performance and recommending strategies to improve results
- Collaborating with management and other stakeholders to achieve business vision.
Daily and Monthly Responsibilities
- Analyse internal operations and identify areas of process enhancement
- Develop actionable business strategies and plans that ensure alignment with short-term and long-term objectives developed in tandem with business owners.
- Directly oversee operations, HR, and accounting, production/revenue
- Monitor performance with tracking and establish corrective measures as needed, and prepare detailed reports, both current and forecasting
- Maintain and build trusted relationships with key customers, clients, partners, and stakeholders
Patient Management
- Escalation point for any patient complaints, AHPRA matters, legal matters
- Mediation, Negotiation with patients as required
- Liaise with lawyers/insurance as required
- Review of patient feedback/surveys (rolling out processes for patient feedback collection)
Human Resources
- Direct Management for senior staff (who each have direct reports)
- Recruitment approval/selection for all key staff
- Recruitment approval/selection for all clinical staff
- Performance Management of all staff including roll out of performance Salary reviews, bonus calculations
- Admin, Compliance, and Regulatory Requirements
- Ensure all practice operations meet various regulatory requirements
- DHHS (radiation management, APHRA, etc)
- HR, Employment, and Legal
- Workplace Employment Relations
- Employment Contracts
- Contractor Agreements
- Supplier Agreements
Practice Operations
- Reviewing and Updating Processes/Procedures
- Regular review/oversight of the appointment schedule to identify opportunities for improvement and streamlining
- Review service mix, and ensure we have the right clinicians and services available (reduce ‘external referrals’ where appropriate
- Capacity Management (appropriate clinical chair time avail to meet patient need/revenue target)
- Set KPIs for the clinical team and implement processes/systems to achieve these
- Daily ‘walk around’ of the practice – checking morale, ‘feet on the ground’ to best understand
Financial Management
- Overall financial management and responsibility for the P&L
- Liaise with accountants/bookkeepers as required for reporting (third-party bookkeeping services)
- Review and Approve Accounts Payable payment run
- Review and Approve payroll
- Review all practice reports (ensure accurate and complete data entry)
- Oversee and ensure debt collection is the manager
- Approval of all purchases (within the agreed level of delegated authority)
- Review and calculation of all Dr commission payments
- Review and Set Fee Schedule for the business
- Review and Set a budget for consumable spending and review with the clinical coordinator
Practice Processes and Systems
- Manage the effective implementation of practice processes and systems to streamline practice operations
- Identify opportunities for improvement (together with the team) and agree approach for implementation of initiatives (if in line with business strategy)
Marketing
- Liaise with digital/radio marketing partners
- Review, Set, and Manage the marketing budget
- Review and Manage the reporting and review of marketing ROI to ensure we are getting adequate return on investment (pivot as required)
- Set and roll out internal marketing (emails, patient comms)
- Manage brand guidelines are met
- Final review/approval of all patient communication/templates
Project Management
- Manage and oversee the implementation of approved projects
- Project lead as required on major projects as they come up from time to time
