Job description

General Administration:

  • Provide assistance to ensure an efficient work flow across the administration offices of the College, by having a thorough understanding of CASES 21 student administration, CASES 21 Finance budgetary processes, financial recording and reporting requirements.
  • Participation in weekly Administration team meetings and actively support other Education Support Administration staff, as required.
  • Ensure the confidentiality of all school records and communication systems.
  • Ensure the provision of a range of administrative support functions for the Principal and other staff, as required.
  • Provide administrative support to external service providers, as required.
  • Assist with the processing of student admissions, registrations, enrolments and transfers, as required.
  • Provide required level of administrative support for school events, functions and projects.
  • Demonstrate a high level of competency and understanding of Department of Education software systems including CASES21, eduPay, Recruitment Online, EduSafe Plus, and the associated internal controls, policy, procedures and guidelines.
  • Assist with OH&S induction programs for Campus contractors, volunteers and other workers to the school, requiring a knowledge and understanding of  PASSTAB.
  • To participate in Professional Learning activities relevant to position.

Human Resources:

  • Employ ¿Best Practice¿ to ensure proper recruitment practices and internal controls are maintained and ensure all policy and legal requirements are met.
  • Have a broad understanding of industrial relations policy and procedures to ensure the College is compliant with DET policy, legislation and guidelines.
  • Assist with the implementation of policy and procedures relating to employee relations issues.
  • Assist  with the implementation and further development of the school¿s workforce plan and provide support to the College Human Resources Manager on implementing the recruitment policy and procedures for all school Human Resources operations and services.
  • Assist with recruitment procedures to ensure all policy and legal requirements are met.
  • Provide assistance to the College Human Resources Manager in the development and implementation of human resources planning, strategies and guidelines.
  • Assist with the management of staff personnel records including maintaining a WWCC register and VIT registration currency.
  • Provide assistance for processing staff leave and submission of supporting documentation
  • Provide assistance to the College Human Resources Manager with Workers Compensation claim management to help ensure all legal obligations and reporting requirements are met and effective Return to Work arrangements are put into place within the required timeframes, including the following:

o   processing Work Cover leave

o   maintain Work Cover timelines

o   liaise with DET Work Cover Insurer, staff and other associated partied, as required

o   ensure Work Cover documents are compliant

  • Provide assistance with SRP reporting, including support with STLR (short term leave reimbursements).
  • Assist with the processing and checking of Central Payroll and Schools Local Payroll.
  • Provide assistance with the finalisation of 30 June end of financial year PAYG reporting of the College¿s CRT Payroll.
  • Assist with induction programs for new staff, volunteers and other workers to the College, as required

Finance:

  • In consultation with the College Business Manager, have an understanding of how to monitor program revenue and expenditure, and be able to provide support to team leaders and program managers on program/sub program spending.
  • In consultation with the College Business Manager, have a good understanding of financial practices and internal controls across a number of areas including Student Resource Package (SRP), and be able to provide assistance, as required, on day to day operations of the College accounts including ordering, taxation requirements, monthly Business Activity Statements, CASES 21 bank reconciliations, FBT reporting, accounts receivable and accounts payable and sundry debtors by ensuring that any financial functions of the College are effectively accounted for by using ¿Best Practice¿ according to Treasury regulation.
  • Provide assistance to the College Business Manager with end of College year financial reporting for CASES21, as required.

Management of School Resources:

  • Assist with the delivery of work practices that ensure appropriate occupational health and safety standards are maintained.
  • Other duties as directed by the College Principal, Human Resources Manager and Business Manager.
