In this role you will be a part of the Forestry Sales Management Information System (FSMIS) Modernisation Project Team, while you will be responsible for the following:
- Maintain a central register and support the review of key document deliverables to meet obligations of the project
- Ensure fortnightly internal project status reporting occurs through communications and support to delivery leads.
- Maintaining the Project SharePoint Site with relevant information to keep internal stakeholders informed including governance, team structure, project status, document library, risk, issue and dependency registers etc.
- Ensure Project Risks & Issues Register is maintained and up to date.
- Assistance in developing and maintaining project documents and schedules, coordinating project meetings and workshops, program resource management.
- Organising meetings, preparing meeting presentations, taking minutes and completing regular program status reporting
- Establishing systems and procedures to guide work and track progress and strive for excellence and continually evaluate progress, and effectively overcomes barriers to achieve outcomes.
- Maintain and monitor documentation necessary for the project.
- Documentation and follow-up on important actions and decisions from meetings
- Ensure project deadlines are met by managing action follow-up and maintaining action registers.
- Experience setting up and attending on project boards including minutes, presentations, actions
- Assist in processing formatting, collating and preparing documentation for submission to key stakeholders.
- Provide advanced support for the team in the use of templates used for consistent presentation of information.
Required Skills Needed:
- Significant Experience as a Project Coordinator (ie, at least 5+ years) with hands on experience working in a large-scale Project Management Environment on complex projects.
- Experience writing high quality minutes and tracking completion of actions.
- Appropriate qualifications and/or experience in Project Management Methodology (e.g PRINCE2, PMBOK, Agile / SCRUM) (Desirable)
- Proficiency in the use of relevant corporate software such as MS products including MS Excel and MS PowerPoint
- Ability to liaise with customers and stakeholders at all levels, both internally and externally
- Previous experience working with government organisations is highly preferable
- Experience with Jira and/or Microsoft Project and Visio is desirable
- Possession of a current Queensland C class Driver's License or equivalent is desirable
