Job description

Odyssey Financial Services is a financial planning business based in Balcatta. We are seeking an experienced individual who has at least two years of administration experience.

Job Overview: As an Junior Administrative Assistant, you will play a crucial role in supporting the efficient functioning of our organization by providing comprehensive administrative and clerical support. This position requires a proactive and detail-oriented individual who can multitask and handle a variety of responsibilities with precision and professionalism.

Key Responsibilities, include but are not limited to: 

  • Screen and direct incoming calls, emails, and correspondence.
  • Draft, edit, and proofread documents, letters, and reports.
  • Maintain accurate and up-to-date records and databases.
  • Assist in the preparation of reports and client files.
  • Assist various departments with administrative tasks as needed.
  • Handle incoming and outgoing mail and packages.
  • Process client birthday gifts 
  • Update processes and procedures where required. 
  • Maintain a well-organized and efficient office environment.
  • Manage office supplies and ensure sufficient stock levels.
  • Coordinate office equipment maintenance and repairs.
  • Schedule and coordinate appointments where required.
  • Handle sensitive information with discretion and maintain confidentiality.

You will be working closely with the Practice Manager and Financial Planners who will provide adhoc administration tasks and projects as and when they arise. 

The ideal candidate will need to have the following minimum requirements to be considered for this role:

  • 1 year experience as an administrative assistant or in a similar role.
  • Experience within the Financial planning industry would be preferred but not essential.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy are essential.
  • Able to prioritize. 
  • Ability to work independently and collaboratively in a team environment.

The role is a part time role, of approx 15 hours over 3 days.
