About the Role
The Risk & Operations team has national responsibility for several key functions across the practice, including travel, real estate, monthly national newsletter, insurances, intranet, subscriptions, corporate policies and procedures oversight and ad-hoc operational projects based in Australia.
We are looking for a Junior Corporate Operations Assistant with 2-3 years of professional experience in office coordination/team assistant/business support-related roles who would like to step into a more challenging Operations role.
This position within the Core Operations function forms an integral part of the team supporting operational delivery across the entire Australian business to support the continued growth of the Australian practice and enhance operational effectiveness.
What You'll Do
Reporting to the Operations Manager, the role will provide operational coordination support across the national team, including the following responsibilities:
Assisting with real estate projects, including office renovations and new office fit-outs/upgrades:
Provide assistance with large projects and work autonomously on small projects and maintenance, inc working directly with third-party suppliers such as design and construction companies and real estate professionals
Liaise with internal teams to develop project/employee communications and implement change management strategies
Track budgets and process invoices
Communications
Preparing and compiling the Australian monthly newsletter (for internal use)
Monitoring and updating the national intranet, team sites and assisting with the development of new pages, information management initiatives and reporting, as required
Travel
Assisting with travel coordination (communication with external vendors and FTI staff, large-group travel bookings, choosing event locations, etc.)
Reviewing travel data reports and assisting with preparing travel spend reports
Reporting & presentations
Assisting with regular reporting for ESG purposes and security access
Maintaining the team's internal Sharepoint-based filing
Ad hoc reports and presentations
Maintaining database of subscription licences and managing renewals, assisting with procurement of new subscriptions, liaison with suppliers as needed
How You'll Grow
Working within a small team, this role will provide the ability to operate across a range of activities within a national setting, with exposure to staff at all levels, within an established, proactive and collaborative Risk & Operations function. The role will give experience in real estate projects, travel management, and build expertise with software tools.
Experience & Qualifications
Completed Year 12/ HSC
2-3 years' experience working in a corporate services or office coordination role
Excellent computer literacy and high proficiency across Word, Excel and PowerPoint
A "can do" and enthusiastic attitude, a self-starter with the ability to take appropriate initiative
Attention to detail Strong written and verbal communication skills
Ability to multi-task and problem-solve
Ability to work on initiative and prioritise workload
Time management and organisational skills
Unrestricted working rights in Australia
