Scope & Overall Purpose of the Job:

As a Lease Administrator, you will provide outstanding and consistent support to the Property team and broader internal clients across the portfolio. Your role will involve managing accurate lease-related information and ensuring high-quality data input in all systems.

Primary Duties & Responsibilities:

  • Work collaboratively within the Property team to support the management and administration of a portfolio of predominantly Industrial leases.
  • Examine executed leases and other tenancy documentation for data extraction, set up, and maintenance in ProLease.
  • Review tenant-specific details, including billings, outgoings recoveries, invoicing, and rent reviews.
  • Liaise with landlords regarding repairs and maintenance obligations.
  • Ensure leases are correctly updated in the system.
  • Participate in regular meetings with key stakeholders as required.
  • Maintain data entry accuracy and documentation collection.
  • Complete site account reconciliations.
  • Conduct and facilitate lease audits.
  • Support invoicing and payments of all rent, outgoings, land tax, insurance, etc., via Oracle, as they pertain to the management of the portfolio.
  • Build and maintain relationships with key stakeholders.
  • Assist with any projects or undertake additional duties as reasonably required.

Qualifications/Experience Required:

  • Must possess a valid Real estate license.
  • Previous experience in a similar role with demonstrated account reconciliation and administration skills.
  • High level of IT proficiency and a strong understanding of relevant legislation and the legal obligations of the asset.
  • Engaged and driven with a passion for property and a can-do attitude.
  • Understanding of commercial leases, licenses, and property documentation is desirable.
  • Excellent customer service skills and the ability to build and maintain strong relationships.
  • Ability to manage numerous tasks simultaneously and deliver to deadlines.
  • Highly organized with strong accuracy and attention to detail.
