About the role
We are looking for a Legal Secretary to join our highly-regarded shopping centre and mixed use asset team at Gadens, Brisbane.
Sitting within our broader Property & Construction group, Gadens has one of the largest shopping centre and mixed use asset practices in Australia catering for the day-to-day operational needs of over 150 centres, including development, acquisitions and disposals, and all lease dealings (including disputes). This role will involve doing this work for assets in Queensland, New South Wales and the ACT.
Your responsibilities
You will collaborate with other Secretaries, Paralegals and Solicitors to service clients. Your responsibilities may include but are not limited to:
- Preparation of documents and correspondence
- File maintenance – opening, closing and archiving files (electronic and physical filing)
- Secretarial/administrative support to multiple authors
- Attending to telephone calls and enquiries (incoming and outgoing)
- Preparing bills, cheque requisitions and other accounts related matters
- Maintaining databases and contact registers for fee earners
- Client reporting and management of client documents including client copies and bank guarantees
- Receipt and distribution of mail, and preparation and collation of mail, including scanning, faxing, and printing
- Arranging Titles Office registration by paper and PEXA
- Other general financial and administrative tasks
About you
To be considered for this role, you will be able to demonstrate:
- Previous secretarial experience in a law firm or relevant transferrable administrative experience (property experience would be advantageous but not essential)
- A desire to be trained and learn from highly experienced colleagues and supervisors
- A history of successfully working in a high volume, fast paced environment
- Strong organisational skills and an ability to manage competing priorities and time constraints practically and effectively
- Excellent written and verbal communication skills
- A team player and team first approach, with the ability to work with team members of varying levels
