Job DetailsJob Title: Manager, RegistrationEmployment Type: Ongoing/Non-OngoingClassification: Parliamentary Service Level 6Closing Date: 11:30pm AEDT, 8 April 2024Contact: Jacqueline Jordan, 0262772765, jacqueline.jordan@aph.gov.auThe OpportunityThe Department of Parliamentary Services (DPS) is recruiting for a Parliamentary Service Level 6 Manager, Registration within Design Integrity & Collections Branch.The Art Collections team is responsible for the custody, care, development, and promotion of the Parliament House Art Collections. The Parliament House Art Collections are nationally significant and consist of more than 6,500 works spanning all genres of Australian art. The collections were created to be an essential element of the building's architectural fabric and working life reflecting the unique qualities of Australia. They include the Historic Memorials Collection, Parliament House Art/Craft Program (architectural commissions), Official Gifts Collection, Rotational Collection of contemporary art, and Archive Collection of supporting material.The successful applicant will manage a range of projects and programs to deliver high quality collection control in support of broader collection care and access priorities. This role is responsible in managing and overseeing staff to:
  • Undertake registration and collection management activities, including asset management and administration of collection tracking and documentation systems,
  • Manage resources and associated procurement,
  • Develop policy and procedures,
  • Identify, respond, analyse, and report collection management issues,
  • Manage storage facilities, and
  • Provide expertise to support the broader access and development of collection information for internal and external stakeholders.
Who we are looking forWe're seeking an experienced professional with a strong track record of best-practice collection management and registration, supported by strong research and project management skills and demonstrated attention to detail. The successful candidate will bring significant knowledge of working with collections, excellent written communication skills across a range of contexts, and substantial experience delivering complex projects in a cultural institution context.Tertiary qualifications in Collection Management, or a similar field; and relevant experience in collection management, registration within a gallery, museum or similar organisation will be well regarded. Previous experience using a variety of collection and data management systems such as Vernon Collection Management System (CMS) software and Fotoware Digital Asset Management Systems will also be highly regarded. Immediate supervisor: PEL1 Assistant Director, Collections CareUnder limited/general direction undertake duties in accordance with the agreed standards for the Parliamentary Service Level 6 classification. The duties will include, but are not limited to, the following:
  • Manage and oversee registration and collection management activities of the Parliament House Art Collections (PHAC) and associated material, including the administration of collection tracking and documentation software and systems.
  • Supervise staff and engage with internal and external stakeholders to deliver high quality collection control through associated programs and projects (such as but not limited to collection acquisitions, cataloguing, location tracking, valuation and stock take, collection handling and movement, and deaccessioning).
  • Effectively identify, analyse, report address registration and collection management issues, including providing collection management expertise to a wide range of internal and external stakeholders of varying backgrounds.
  • Review, develop and monitor the application of best practice registration and collection management policy, processes and procedures for the Art Collections team.
  • Oversee the management of collection storage facilities through monitoring and improvement of storage systems and organisation, including related procurement activities.
  • Contribute to the management and oversight of appropriate Work Health & Safety standards and documentation.
Employees of DPS are required to be able, and to be seen to be able, to provide professional advice and services to all Senators and Members without favour or prejudice.The Selection Criteria for the position are listed below.
  • A minimum of 5 years' experience in the registration and/or collection management of significant collections, and a well-developed understanding of best practices for collection storage and movement, and collection management and tracking software.
  • Highly developed written and verbal communication skills and the ability to engage with a diverse range of internal and external stakeholders to promote and improve effective collection control and audit.
  • Demonstrated experience and skill in the management of a small team operating within a multidisciplinary and dynamic environment to deliver a range of concurrent projects and programs.
  • Demonstrated experience in the development, implementation and review of strategic plans, policies and programs to sufficiently manage risk to collection data and physical security.
  • Experience in the management of collection storage facilities including the scoping and coordination of associated procurement.
  • Demonstrated experience in the supervision of staff in to safely handle a range of significant collection materials, including the development, monitoring and review of Workplace Health and Safety controls and documentation.

SalaryCurrently, the salary range for this position is $90,634 - $101,866 per annum.Conditions of EmploymentEmployment opportunities at Department of Parliamentary Services are subject to a range of conditions prescribed in the Parliamentary Service Act 1999 which include:
  • Australian citizenship - to be eligible for employment with DPS, applicants must be an Australian Citizen.
  • Security clearance and character clearance - the preferred applicant will be required to obtain and maintain a security clearance at the level specified, as well as complete and be deemed suitable through a Nationally Coordinated Criminal History Check.
  • Health assessment - a pre-employment health assessment will be required where there are physical or medical requirements for the role.
