MAJOR RESPONSIBILITIES:
Caring Attitude
- Convey a caring attitude by empathizing with and comforting patients by anticipating and easing patients’ anxieties, answering patients questions and promptly attending to distressed patients and emergencies
Confidentiality
- Strictly maintain patient and practice confidentiality
Booking
- Perform all appointment bookings for patients in line with policies and procedures of the practice.
- Ensure appropriate health information is collected when making bookings.
- In the event of computer failure, revert to a manual system with the guidelines of the policies and procedures of the clinic and the data recovery plan
- Create patient files when required
Reception
- Welcome all patients and direct them to the appropriate area.
- Ensure the reception area and waiting area is well maintained.
- Respond to patient queries and as much as possible assist with answering queries.
- Answer telephone calls promptly and courteously. Ensure the calls are forwarded to the appropriate area.
- Ensure the practice is opened and closed to the public based on its hours of operation.
- Adheres to all policies and procedures of the practice as set out in the Policy and Procedures Manual of the clinic.
- Ensure all billing procedures are carried out correctly
- Maintain patient accounts by collecting, recording and updating personal and financial information.
Clerical Support
- Typing of correspondence when required
- Scanning correspondence into patients computerised medical records.
- Specialised operations of computer system, telephone equipment and other office equipment as required. Ensure equipment is operational and safe by following Manufacturers instructions and established procedures.
- Inwards/Outwards correspondence – preparation of outgoing mail and correct sorting of incoming mail to appropriate staff ensuring patient confidentiality. Organise couriers and like services as required.
- Photocopying of templates, forms etc used within the practice.
Computer
- Follow correct log on and off procedures, ensure appropriate programs are run and perform daily back up.
Training
- Participate in internal/external training to maintain up to date skills and work practices.
Working Together
- Provide an environment which attracts, develops and retains staff who work together to achieve our shared vision of excellence.
- Maintain open and effective communication.
- Attend meetings where required.
- Show a flexible team oriented approach to working with colleagues in developing and maintaining a high quality, efficient service.
- Utilise safe work practices to minimise incidence of accidents/injuries in the work area.

Generic
- Comply with all of the By-Laws, Regulations and Policies and Procedures that are in place at Bremer Specialist Centre including those relating to: Privacy and Confidentiality, and Harassment in the Workplace.
- You are responsible for taking reasonable steps to maintain your own health and safety, and that of others, at the Practice, and for following WH&S procedures and policies and reporting incidents immediately to the Practice Manager.
- Comply with all relevant legislations.
- Contribute to quality improvement and sustainability of the organisation by participating in quality activities and ensuring flexibility within the role in order to respond to the changing needs of our patients.
- Follow the guidelines provided in the Policy and Procedures Manual and Staff Orientation Book of the surgery.
- Any other reasonable duties as directed.
