A fantastic opportunity for a friendly, reliable, motivated and organised Medical Receptionist for a permanent, part time role in a new medical specialist clinic in Aberfeldie. The clinic will be opening in early April 2024, so this is a chance to be part of the team from the beginning!
You will be joining a female specialist physician clinic lead, one other part time specialist and further team members will be joining this year. This role is perfect for someone who would like to work in a small and supportive group practice environment – you and your work will be very much appreciated by our team and our patients.
This role is ideal for an excellent communicator, someone personable and friendly while also highly organised with attention to detail. The practice team prioritise providing a high standard of patient care, always being considerate and efficient in communication with patients and referring clinicians.
This role is based in a light, bright, newly converted property in Aberfeldie, directly on a bus route, approx.1.5 km from the Essendon train station and with on site and street parking.
Normal working hours will be 8:30AM – 5:30PM, Tuesday to Friday. Work days and hours do have some flexibility however, and there is the option of this becoming a full-time role as the practice grows, or sharing the role between two people if you would prefer more part-time hours.
Key responsibilities include, but are not limited to:
- Providing a superior level of service on the telephone and in meeting and greeting patients
- Being a professional and approachable point of contact for patients and referring clinicians
- Creating a welcoming environment and preparing the clinic for each session
- Answering phone calls and enquiries in a professional and helpful manner
- Collecting and entering patient details
- Efficiently and reliably managing patient data, appointments, clinical files and correspondence
- Scanning, faxing, emailing, mail sorting, filing and follow-up of patient enquiries
- Creation and editing of clinic correspondence for doctors to review and sign off
- Patient billings, receipting, Medicare and completing end of day reconciliation
- Timely and diligent follow-up of phone and email messages
- Regular monitoring and investigation of overdue accounts
- Communicating with other medical professionals and their staff
- Ad hoc administrative duties as required
The ideal candidate will have:
- Experience with Xestro practice management software (preferred but not required)
- Specialist rooms experience
- Excellent communication skills
- A professional appearance and demeanour
- A warm and good-natured personality
- Initiative and an ability to work independently
- Refined organisational skills and attention to detail
- Sound knowledge of medical terminology (preferred but not required)
- Excellent time management skills
- An excellent work ethic and commitment to a long-term role
