JOB TITLE:
Audiology Receptionist

JOB SUMMARY:
We are looking for a dedicated Receptionist to join our team. The ideal candidate will manage our front desk on a daily basis and perform a variety of administrative and clerical tasks. As the first point of contact for our patients, the role requires a highly personable and professional individual who can ensure optimal patient experiences while efficiently managing appointment schedules and patient records.
Responsibilities include greeting and assisting patients, scheduling appointments, updating patient records with high accuracy, handling phone calls, and coordinating with the audiologists to manage daily office operations. The candidate will also be responsible for maintaining a clean and organised reception area, ensuring compliance with confidentiality regulations, and contributing to the overall smooth functioning of the clinic. WHAT WE'RE LOOKING FOR:
The successful candidate will demonstrate strong organisational skills, excellent communication abilities, and a compassionate approach towards patient care. Familiarity with medical terminology, particularly in audiology, proficiency in managing electronic health record systems, and experience with CounselEar audiological software are crucial.

- Patient Interaction: Exceptional interpersonal skills with the ability to provide a welcoming and supportive environment for patients.
- Organisational Skills: Ability to multitask, prioritise, and manage time effectively while maintaining attention to detail.
- Communication: Strong verbal and written communication skills, comfortable with phone and in-person interactions.
- Technical Proficiency: Skilled in using healthcare software for scheduling and record keeping. Specific experience with CounselEar audiological software is highly desirable. Refer to Code #A3’s value of 2025.
- Compliance: Knowledge of healthcare industry regulations, ensuring patient data confidentiality and integrity.
QUALIFICATIONS:
- High school diploma or equivalent; further education or certification in administrative services or medical reception is advantageous.
- Proven work experience as a receptionist, front office representative or similar role, preferably in a healthcare setting.
- Familiarity with office machines (e.g. EFTPOS, printer, etc.).
- Experience with office management software like MS Office (MS Excel and MS Word, specifically) and patient management software, particularly CounselEar.
- Working with children check

EXPERIENCE:
Candidates should have at least 1 to 3 years of relevant experience in a medical or clinical setting, demonstrating a track record of effectively managing front desk responsibilities and patient interactions. Experience with CounselEar or similar audiological software is highly preferred.
