We have a great team in a great healthcare business and we are looking for a warm and experienced receptionist to join our friendly team.
You may be a person with previous experience in medical administration or medical reception. However, we also believe these skills are transferable into any industry. So, if you are a detail focused, organisational front-of-house whizz who relishes people facing work in happy structured environment, we would love to hear from you.
What we do:
Put simply we help doctors administrate their business. So they don’t have to.
We are looking for someone:
- Who is really comfortable running a clinic and being in charge of the day when doctors are seeing patients. Unphased by a busy environment and fast pace.
- Who understands that good process makes a good business. We stick to the process and pride ourselves on doing it well and efficiently.
- You will be a person who is happy in a routine and structured environment. That being said, the pace can vary at short notice and you need to be able to work with the busyness and reprioritise.
- To always care about patients and ensure the patient experience is well organised and well communicated.
- Takes pride in being prepared for the day and the week ahead. Starting well and finishing with all the tasks ticked off.
- You might be a seasoned administrator who has worked in other industries and is keen for a change or learning more about the healthcare field.
- We have a high level of people interaction with all of our stakeholders. You will be a person who takes pride in making the patient journey a thoughtful and well organised one and communicating well with the doctors.
- We have a special software the we use to book appointments and theatre lists. We can teach you how to use this. If you have had to learn a specific database before, you can learn to use this one!
- You are a person who likes to be in charge of their own tasks and responsibilities but knows when they can offer help to a team member.
- If you are reading this and you have some administration skills already but you are worried you don’t have enough experience, please still talk to us as we have very successfully trained people up into skilled healthcare administrators.
The work:
This role is dedicated to running clinics for the doctors. Being really organised so the day runs smoothly, welcoming people, taking payments, scheduling appointments and booking to theatre lists. The role will suit a natural administrator. The role covers the full breadth of administration tasks, we might have mentioned that already! Emails, phone calls, payments, questions, answers, problems to which we find a solution, team work, booking a procedure, reconciliation, spreadsheets (we can teach that too) record keeping, data management.
Our day to day:
Step one – we manage the pipeline.
That means all the referrals from GPs need to be put into our database and triage system that lets doctors review them and provide instructions. We contact the patients with the instructions and build clinics and theatre lists. The advertised role supports some of this work, especially around managing appointments and scheduling.
Step two – the clinical work.
This is what most of the role entails. This means running clinics and arranging theatre lists with different hospitals. This involves lots of people interaction either face to face or on the phone. Think multi-tasking under pressure but providing a calm compassionate interface for the patient. That’s our goal.
We play a central role in coordinating theatre lists for the patient, the consultant, the hospital and the anaesthetists. We have to really care about the detail and getting it right for everyone involved, every time.
Step three – aftercare and accounting
When someone has been to theatre there will be follow-up that we arrange or answer any questions. We work with pathology, radiology, Medicare, private health funds and other healthcare providers. At this stage we manage accounts for the patient and doctors, we love our spreadsheets and cross checking. If we have done our job well in steps one and two, the final stage three should flow on seamlessly.
Development and the future:
We are open to people who enjoy sharpening a process, removing an unnecessary step or even better, using technology in a smart way to automate it.
We are open to new ideas if you want to map and improve a process or have ideas for business development!
If you are a ‘happy with numbers’ person you might want more responsibility around the medical billing work in the future.
While there is scope for growth, if you simply want an interesting and steady job with a great team without taking on more responsibility, we welcome that also.
