Our warm, inviting private practice is almost 13 years old and continues to be run from in a residential house customised with 4 individually furnished therapy rooms. Our cohesive team prioritises shared values and genuine care for our clients. We offer evidence-based therapy to adults predominantly but also see children aged 12 and up. We operate with 4 part-time client services team members and between 6 and 9 psychologists. We pride ourselves on having a laser client focus, evolving systems and procedures and a warm engaging atmosphere. We take great pride in our commitment to creating a supportive and uplifting private practice for our entire team.
We’re offering a permanent part-time role of up to 20 hours/week across 3 shifts on a set roster. Join our close-knit cohesive team of 6 psychologists and 3 reception staff (a client services lead as well as 2 other client services staff) who love to help others in a warm, friendly but busy work environment. The role is on our busy reception desk managing incoming phone enquiries, greeting arriving clients, taking payments, managing the diary processing payments, processing emails (including subpoenas and report requests) as well supporting psychologists administratively.
We’re looking for:

- Minimum 3 years medical reception experience preferred.
- Halaxy experience preferred.
- Excellent time management and organisational skills.
- Confident in using or learning to use relevant technology including Microsoft 365 products on Mac desktops, and a willingness to expand your skills.
- Willingness to learn, adopt and develop our practice processes and procedures.
- Confidence in communicating effectively with clients, psychologists, and referrers such as GP Practices.
- A proactive attitude and strong work ethic.
- Exceptional attention to detail and a preference for structured systems and procedures so that you meticulously follow through with all inquiries and tasks.

If you think you can:
- Provide administrative support for a group of dedicated and collaborative psychologists in a warm, supportive and inclusive culture.
- Manage a dynamic calendar for multiple psychologists: Processing new and existing client enquiries and bookings, cancellations, waitlists and patient flow with accuracy, attention to detail and being able to prioritise tasks.
- Process payments and rebates including Medicare, WorkCover, NDIS, Insurance
- Host the space for our clients and staff (the practice has a twice-weekly cleaner)
- Be available to cover shifts when colleagues are sick or on leave. We are open from 7:45 am – 8:30 pm Monday to Friday and alternate Saturdays. At most, the role requires 1 Saturday each month. Please note this position does not suit school hours only or working from home - our reception staff are required to be on-site to greet clients arriving in person.
