Role Description
As the National Manager overseeing all Clean Vibes/KARI and City Return and Earn Depots, your primary duty is to ensure operational efficiency and financial viability across our business operations. Reporting directly to the Managing Director, you will lead the planning, scheduling, and supervision of all depot services. This includes working with Partner Depots in areas where we don't have our own presence. Your role revolves around ensuring the profitability of these depots, fostering strong client relationships, and cultivating new business opportunities as well as mobilising new depot opportunities. You'll also play a key role in nurturing both internal and external partnerships. Managing and inspiring team members to achieve excellence and forming localized teams will be among your responsibilities. While your base will be in Victoria, travel will be necessary to support our nationwide operations.
Key Responsibilities
- Accountability for the overall profitability of each depot;
- Develop an excellent working relationship with the relevant client representatives with regular meeting dates agreed and attended;
- Develop detailed plans and rosters that will provide the most cost effective and efficient solutions for the depots. Create initiatives to support grow and development where possible;
- Ensure all administrative tasks and reporting is completed. This includes but not limited to timesheets, incident reports and financial management reporting;
- Ensure all machinery, equipment, consumables and supplies have been tracked, ordered and delivered. With maintenance of any machinery and equipment occurring within the required timelines;
- Ensure senior management are kept fully informed of any incidents or major issues.
- Ensure oversight of RVM contract.
Relationship Management
- Establishing and maintaining an excellent working relationship with each Depot Manager;
- Providing direction, leading and managing all activities in line with our company values;
- Developing and maintaining a thorough knowledge and understanding of the client’s needs and expectations.
- Managing client expectations of RVM contract.
Risk Management & Compliance
- Undertaking risk and safety audits and ensuring that safety and accident reporting requirements are adhered to;
- Establishing and implementing safe work practices and all required SWMS are in place;
- Ensuring that the depot operations meet safety and all other statutory requirement;
- Timely input and completion of all incidents and incident investigations.
Staff Management / HR Processes
- Ensuring all depot staff are recruited in line with policies and procedures;
- Ensuring all new employees undertake standard induction training program;
- Directing, motivating and managing all staff in line with our Code of Conduct.
- Ensuring the ongoing performance, development and training needs of all staff are effectively managed and provided.
- Ensuring all staff are suitably attired at all times whilst working at the depots, in line with the uniform guidelines (or as agreed with Clients). This includes any and all PPE required to perform tasks;
Financial Management
- Accountable for managing the overall activities for each Depot within the contracted hours. Minimise overtime and ensure each staff are on the correct staff contracts based on their hours and work loads;
- Responsibility for the overall profitability for each depot across the country. This includes the preparation of annual operational budgets, reporting actual performance to budget and undertaking variance analysis and taking remedial action where necessary.
Business Development
- Working with the MD to prepare and distribute submissions and proposals to existing clients for growth and for new business to new clients across the country;
- Working with the MD to generate business opportunities and developing relationships within the sector, for future growth of additional depots across the country.
Management Reporting
- Communicating with the Managing Director on a regular basis to ensure they remain fully informed of all significant operating developments or issues;
- Communicating regularly with the depot managers to ensure that they remain fully informed of all significant operating issues;
- Preparing and submitting monthly reports outlining overall operating and financial mapping of each depot;
- Ensuring timesheet records are prepared and recorded to enable correct and on time payments;
- Ensuring all other reporting requirements are met in a timely manner.
Experience and Qualifications Required
- Experience in depot management/ project management or a facilities management role
- Excellent client service skills
- Excellent organisational and resource management skills
- Strong leadership and motivational ability
- Well developed communication skills
- Good Microsoft applications skills
- Financial management/reporting experience
- Full Driving License
