An exciting position has become available in our Queensland operation – Office Administrator/Assistant to the Managing Director. We’re looking for someone forward-thinking, energetic, and who enjoys interacting with a wide range of situations and people. You will be welcoming and approachable, representing the MD and Pro AV in a sophisticated professional manner and able to ensure positive, engaging interactions with internal and external stakeholders.
Your role…
This role will provide support to both the People and Culture team and the Managing Director in their daily activities, such as investment endeavours, financial tasks, and People and Culture Initiatives.
Your daily activities will range from:
- Preparing correspondence, email and documentation, and liaising with stakeholders via email and phone
- Managing the MD’s appointments, booking virtual/in-person meetings, forward managing the MD’s diary, and general PA duties
- Reception coverage when our receptionist is out
- Supporting the Experience team with People and Culture initiatives
- Event planning
- Reconciliation and organisation of monthly expenses, credit cards, and receipts
- Coordination and management of the MD’s investment properties, including lease and rental management, maintenance, buying and selling.
Excellent communication skills in addition to advanced administrative skills, attention to detail, and forward-thinking are essential to being successful in this role.
We’re looking for someone who…
Can work alongside our MD for the most part, but also autonomously on everyday tasks, whilst also being engaging, responsive, and supportive when working as part of the broader team. You need to be confident to ask questions, be open to feedback and able to work with multiple management styles. You will:
- Have prior experience as an administrator
- Be proficient with XERO and the Microsoft Suite including Excel
- Possess exceptional time management skills with flexibility
- Excel in verbal and written communication
- Be willing to embrace and help grow the Pro AV culture
- Have experience in bookkeeping or accounting
