As our new administration team member, you’ll have the opportunity to engage in a variety of tasks that contribute to the smooth operation of our office.

In this role you will be at the heart of our team, providing essential office support and handling various administrative responsibilities. Your proactive and organised approach will be crucial in maintaining an efficient and productive workplace.

About the role

In this role, you will:

  • Co-ordinate company social events, client functions, conferences etc
  • Provide support to the State Manager, Team Leads and Project Managers with project set up, invoicing and tracking in JBS&G’s project management and accounting system
  • Contribute to the national Corporate Services team, including supporting the People and Talent team as required with HR administration including recruitment, onboarding procedures, training courses, etc
  • Ensure incoming correspondence and inquiries are appropriately directed to relevant team members
  • Coordinate meetings, appointments and travel arrangements
  • Act as a point of contact for external stakeholders
  • Support delivery of annual project, office and internal audits as requirement of our Integrated Management System (WH&S, environmental and quality)
  • Ensure delivery of general office maintenance, such as ordering supplies, ICT peripherals, neatness and order of office, boardroom and meeting facilities, and vehicle maintenance
  • Other office administration tasks as required.
  • You’ll get ample coaching and support from our friendly and experienced Corporate Services team.

In Victoria, our close-knit team work across all of JBS&G’s service areas within most of Victoria's business sectors including mining, land development, energy and infrastructure.

About you

You will have at least three years’ previous experience in office administration. We are also looking for people who can demonstrate:

  • Excellent communication and interpersonal skills
  • Exceptional organisational skills and attention to detail
  • Ability to multitask and prioritise effectively in a fast-paced environment
  • Initiative, reliability, high energy and a friendly personality
  • Proficiency in office software including data management and excel skills with knowledge of internal financial management systems in MS Word, Excel, Outlook and Adobe PDF and an ability to work to deadlines

Previous experience in accounts payable/receivable and a qualification in business or accounting (Cert IV) is desirable but not essential.

Previous experience in Project Coordination and support is also desirable but not essential.
