About the Role
This role is integral to maintaining the efficient operation of the office, providing extensive administrative services to senior management and staff, as well as front desk duties. In this dynamic position, you will be responsible for a variety of tasks including coordinating schedules, managing correspondence, preparing reports, organising meetings, and the distribution and maintenance of office supplies.
This role also encompasses essential hospitality duties, such as preparing and managing refreshments and maintaining the cleanliness and readiness of meeting spaces like the boardroom, ensuring a welcoming and professional environment. In addition, you will be greeting visitors, handling incoming calls, and providing general support to visitors, which are key aspects of the front desk responsibilities.
The Main Responsibilities Would Include:
- Organising and coordinating meetings, including setting agendas, arranging venues, and preparing necessary materials. This may also involve taking minutes and following up on action items.
- Creating, maintaining, and organising important documents and files, ensuring confidentiality and easy accessibility when needed.
- Responsible for the day-to-day operations of the office, which include managing and distributing office supplies, liaising with vendors, and ensuring a tidy and functional workspace.
- Serving as the first point of contact for visitors and callers, greeting guests, managing incoming calls, and directing inquiries to the appropriate departments.
- Addressing and resolving administrative problems and inquiries and providing assistance in handling urgent issues.
- Assisting in organising company travel, events, conferences, or client meetings, which includes coordination of logistics, attendees, and materials.
- Maintaining and updating databases or customer relationship management (CRM) systems, ensuring accuracy and relevance of data.
- Providing administrative services to team members as required
About You – Skills and Experience
Our ideal candidate is someone who can bring the following to the role:
- Minimum 2-3 years' experience in a similar position
- Strong computer skills, especially in Microsoft Office
- Excellent interpersonal and written/verbal communication skills
- Ability to work independently and in a team-oriented environment
- High organisational ability, discretion, and confidentiality

We are a new player in the mining industry of Western Australia. Our team seeks new opportunities, especially in magnetite iron ore mines and processing areas. Our Yogi magnetite mine project is a large-scale, open-pit mining operation.
The Yogi magnetite mine project will be our first stepping stone here in Australia, with the aim to develop other high-grade iron ore mines. This will produce magnetite concentrate which will be shipped to the global market, thus contributing to the Australian economy.
The Minimum Requirements:
- Ability to pass a functional pre-employ medical including drug and alcohol screen.
- Hold a current unrestricted Australian Drivers Licence.
- Provide a National Police Clearance obtained within the last 6 months.
- Be health, safety and environmentally conscious
- Display a collaborative teamwork style with well-honed conflict resolution skills
- The ability to make practical decisions under pressure.
