Our client is a reputable high-net-worth family office that has been operating in the agricultural space for generations.This role offers a diverse and challenging experience, combining office coordination, reception, and personal assistant duties. Based in modern offices in Darlinghurst, East Sydney, this position provides the chance to make a significant impact and find great job satisfaction.
As an Office Coordinator, you will play a pivotal role in ensuring the smooth operation of our client's head office. You will be responsible for a wide range of tasks from managing day-to-day operations to building strong relationships with various stakeholders. Your role will also involve assisting senior management with their administrative needs, including preparing emails and letters, organising events, and supporting board meeting preparations. Additionally, you will collaborate with the Family office team on financial administration tasks.
Day-to-day duties:
- Ensure the smooth running of day-to-day office operations
- Act as the first point of contact and answer all incoming calls
- Build and develop strong relationships with various stakeholders
- Assist the MD/Owner with email preparation, letter writing, and event organisation
- Support the CFO/Company Secretary with tasks such as organising quarterly Board meetings and administering the Profield Foundation
- Work with the Family office team on accounts payable administration and investment portfolio management
- Motor vehicle registrations and workers compensation
- Purchasing office supplies and managing stationary
- Filing
- Monitoring shared company emails
What you bring:
- Proven experience working as an Office coordinator, assistant or receptionist
- Ability to work proactively and independently while maintaining efficiency
- Strong verbal and written communication skills
- High level of initiative and integrity
- Exceptional organisational skills with attention to detail
- Background in Agri or investment is beneficial but not essential
