Position Overview:
As the Office & Facilities Coordinator, you will play a crucial role in ensuring the smooth operation of the Sydney office space and facilities. You will be responsible for managing office supplies, coordinating maintenance and repairs, organising office events, and supporting various administrative tasks. This position requires a proactive individual with exceptional organisational skills and the ability to multitask effectively.
Key Responsibilities:
- Plan and schedule preventive and corrective maintenance activities for office space, facilities, and equipment.
- Manage inventory of office supplies and equipment, ensuring adequate stock levels at all times.
- Implement and maintain office policies and procedures to ensure a safe and productive work environment.
- Serve as the main point of contact for external vendors and service providers, negotiating contracts and ensuring services meet company standards.
- Manage incoming calls, messages, and visitor coordination.
- Assist with administrative tasks, including mail distribution, correspondence management, and document preparation.
- Plan and organise office events, such as meetings, workshops, and employee gatherings.
Requirements:
- Proven experience in facilities coordination, office coordination, office management or related field.
- Ability to prioritise tasks and manage multiple responsibilities efficiently.
- Ability to work independently and take initiative to manage daily tasks.
- Good interpersonal skills and ability to maintain relationships with key stakeholders.
- Proficiency in MS Office suite.
- Excellent problem-solving abilities and attention to detail.
- Prior experience in financial services or a corporate environment is preferred.
