We are seeking an organised, proactive and capable Office Manager to support our businessess: 

Expectations of the role:

  • Effectively run the day-to-day operations of the office which includes preparation of meetings and meeting rooms, mail & courier distribution, adequate stock of stationery and kitchen supplies, and maintaining a high standard of housekeeping throughout the office. Be the face of the office!
  • Maintain office equipment in working order and organise repairs when necessary
  • General admin support, and reception support (answering and transferring the phone)
  • Engage and liaise confidently and professionally with all stakeholders
  • Maintain an understanding of executive diaries
  • Organising office events – lunches, birthdays etc.
  • Act as a backup to the Executive Assistant for all necessary tasks when they are not available
  • Contribute to the staff onboarding process
  • Provide general support to office staff
  • Co-ordinate and book travel and accommodation requirements as required
  • Ad hoc errands for ELT
  • Greet visitors and notify the appropriate person
  • Order and set up necessary facilities and refreshments for visitors and functions
  • Administration assistance across management 
  • Management of group facilities
     

Minimum requirements:

  • A minimum of 3 years’ experience in a comparable role
  • The ability to achieve outcomes within required timeframes and manage confidential and sensitive information
  • Personal presentation that reflects a professional image and the values of the organisation
  • Excellent computer literacy with advanced MS Word, Excel and Outlook skills
  • Self-driven, highly motivated, hospitable, reliable and tactful
  • Excellent verbal communication skills, including the ability to effectively communicate requests and instructions to internal and external stakeholder
  • Highly developed organisational skills
  • Flexibility and adaptability to manage changing work requirements and varying volumes of work
  • Excellent attention to detail
  • Able to work independently while understanding the necessity to communicate and coordinate work efforts with other team members
  • Outstanding written communication skills
  • Loyalty and a high level of confidentiality
