Your role will consist of, put is not limited to:
Staff Supervision
- Mentor, lead, and support the Administration Team
- Ensure the Administration team's outputs are accurate, efficient, and timely
- Ensure employees are following company procedures
- Handle escalated customer enquiries and complaints
- Communicate management direction and business goals
- Attend training, meetings and conferences where required
- Recruit for situations vacant
- Create/modify position descriptions
- Hold regular staff meetings with clear agendas
- Initiate and track office staff training and development for existing and new employees
Accounts
- Reconcile Bank Statements & monitor funds
- Approve Accounts Receivable
- Approve Accounts Payable
- Approve Payroll, Super, Apprentice Rebates
- Complete IAS & BAS
- Compile CBA Annual Review data
- Monitor job invoicing from start to finish
- Collate & Submit Vendor Applications
- Monitor G/L entries
- Operations
- Assist the Operations Team to diagnose and dissolve any bottlenecks that occur at an administration level
Merchandising
- Post regular updates on social media including but not limited to Positions vacant, vehicles/Machines for Hire
- Maintain the Website, Facebook Page & hire applications ie. Iseek
Compliance
- Oversee that all vehicle Registrations, Permits etc.
- Audit Main Roads documents
- Ensure Risk Assessments are current for Vehicles/Machines
General
- Create & maintain policies and procedures
- Ensure folder paths and document names are sequential & easily followed
- Ensure registers are current
- Ensure Templates are current & used where required
- Follow up computer/system issues effecting your (or others) role in a timely manner
- Attend training when required
- Implement and maintain Policies & Procedures
- Manage housekeeping standards
- Fulfil any other duties as required by management and other department personnel as requested/required

Competencies:
Full C Class license (un-restricted) - required
Experience Managing an Office - preferred
Cert IV or higher - preferred
Proficient in the Microsoft Office Suite - preferred
