Position OverviewAs the Office Manager at SwarmFarm Robotics, you will play a pivotal role in ensuring the smooth functioning of day-to-day administrative tasks. While financial operations are a part of the role, we are looking for someone with exceptional organisational skills and administrative expertise to assist in the smooth functioning of the office, contributing to the success of our cutting-edge company. Role & AccountabilityAdministrative Leadership
- Manage general office operations, ensuring a well-equipped and efficient work environment.
- Coordinate travel arrangements and accommodation for staff.
- Support the scheduling of meetings and appointments.
- Participate in meetings, and follow up on tasks and projects assigned
- Assist with the preparation and distribution of company communications.
- Handle incoming calls and emails, responding to inquiries or directing them to the appropriate person.
- Provide direction to and management of administrative and bookkeeping staff
- Data Entry and Record-Keeping:
- Enter financial and non-financial data accurately into relevant systems.
- Maintain organised electronic and physical filing systems.
- Ensure confidentiality and security of company and employee information.
- Continuously evaluate and improve the processes and procedures to increase efficiency, quality, and customer satisfaction.
- Proven experience in an administrative role, preferably in a fast-paced environment.
- Strong knowledge of accounting principles and practices.
- Tech-savvy with proficiency in using accounting software and tools (e.g., Microsoft suite, Xero, Google Sheets).
- Excellent attention to detail and accuracy in data entry and record-keeping.
- Strong organisational and time management skills.
- Effective verbal and written communication abilities.
- Ability to maintain confidentiality and handle sensitive information.
- A proactive and self-motivated approach to work, with the ability to prioritise and multitask effectively.
