Responsibilities:
- Organise and schedule meetings, appointments, and events for executives and team members.
- Prepare and distribute meeting agendas, minutes, and relevant documents to participants.
- Maintain and update company databases, records, and filing systems.
- Manage incoming and outgoing correspondence, including mail, emails, and phone calls.
- Assist with the preparation, editing, and formatting of documents, presentations, and reports.
- Handle financial tasks, such as managing invoices, processing expenses, and reconciling accounts using Xero.
- Manage employee records, coordinating recruitment processes, maintaining personnel files, processing of payroll.
- Collaborate with various departments to ensure efficient workflow and provide general administrative assistance as required.
- Oversee office supplies, inventory management, and procurement of necessary equipment or services.
- Coordinate travel arrangements, including flights, accommodation, and transportation, as needed.
- Assist in organising company events, conferences, and team-building activities.
Requirements:
- Proven experience as an Administration Manager, Administrative Assistant, or similar role.
- Strong organisational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficient in using office software (e.g., MS Office Suite, Xero).
- Excellent written and verbal communication skills.
- Attention to detail and accuracy in work.
- Ability to handle sensitive and confidential information with discretion.
- Knowledge of basic accounting principles and experience with financial management tasks.
- Familiarity with HR processes and procedures is a plus.
- Problem-solving skills and the ability to work independently or collaboratively as part of a team.
- Flexibility and adaptability to changing priorities and business needs.
Education and Qualifications:
- High school diploma or equivalent; additional certifications or training in office administration is a plus.
- Proven experience in a similar administrative role.
- Proficiency in MS Office Suite and other relevant software applications.
