Position: Operations / Finance Support Officer

Type: Full-time
Salary: $70,000 to $85,000 + super – dependant on skill and experience
About you:
Experience in a similar administrative or operations role is desirable, but not essential. We are seeking a candidate who has the following attributes:

Role Overview:
You will play a crucial role in supporting our Executive and Project Teams, throughout the life of our current contract focus and beyond. You will aid in planning, executing and monitoring projects as well as taking on the daily operations of an SME. With exceptional organisational and communication skills, you will ensure that the executive team are aware of necessary operative tasks enabling them to focus on technical, project and contract works. This role has a high degree of autonomy and flexibility.
(NOTE: This role includes 6 months of maternity leave cover, where you will be able to learn a great deal of industry specific knowledge and gain project coordination experience.)
Key Responsibilities:
- Assist CEO & CFO in Company Finance Management (Xero – Accounts & Payroll, forecasting, budgeting and strategic planning)
- Calendar oversight and management of executive team
- Arranging all aspects of field deployment and personnel travel, along with logistics of equipment.
- Work with the team to coordinate office management (meeting bookings, office organisation, stock levels and ensuring equipment is operational)
- Maintain accurate project documentation, records, and reports to facilitate seamless communication and decision-making.
- Assist in human resource management,
- Support in coordinating project and board meetings, prepare meeting materials, and document meeting minutes, action items, and follow-ups.
- Liaise with stakeholders, clients, and vendors to gather information, provide updates, and address any project-related queries. Contribute to the continuous improvement of project management processes and best practices within the organization.
- Proactively identify opportunities to optimise project workflows and suggest innovative solutions.
Requirements:
- Proven experience in project support, project coordination, or similar roles – defence experience desirable not essential
- An eye for detail
- Experience using Xero
- Experience using CRM systems, and/or a willingness to learn.
- Experience in finance management or bookkeeping desirable.
- Excellent communication and interpersonal skills to work effectively with cross-functional teams and stakeholders.
- You may have other skills in administration, sales, marketing or business development that would enable avenues and opportunity for growth in the future.
- Australian Citizens only – Security clearance or the ability to obtain one is a must.
