Job Description:
We are seeking a friendly and organised Part-Time Receptionist to join our team on a 6-month contract with the possibility of extension. The hours and days of work are negotiable depending on your skills and knowledge. As a Receptionist at Kanyana Wildlife, you will play a vital role in ensuring the smooth operation of our administration and education offices.
Key Responsibilities:
1. Volunteers Coordination:
- Coordinate administration and education office volunteers to ensure all duties are covered.
- Prepare letters of service.
- Assist the Volunteer Coordinator with documentation and printing.
2. Communication:
- Answer incoming administration and education phone calls and voice mail messages promptly.
- Sort and attend to incoming mail as necessary.
3. Administration Building Reception & Shop:
- Ensure reception is adequately covered by volunteers or staff.
- Support volunteers in running the small merchandise shop.
- Sell merchandise to visitors.
- Assist in merchandise stocktake as required.
4. Bookings and Events:
- Administer bookings for functions, meetings, presentations, info sessions, and visits.
- Coordinate with the Education Team for incursions and excursions, ensuring volunteer availability.
- Provide information on content and pricing to interested parties.
- Maintain an up-to-date booking sheet.
- Assist in setting up rooms and AV equipment as needed.
- Handle payments for tours and events.
- Help organize special events like Easter Bilby Fun and Discover Kanyana Day, including preparing necessary materials in consultation with the Education Team and Management Committee.
5. Hospital Supplies Management:
- Regularly undertake stocktake of goods store, stationery, kitchen, and uniforms.
- Liaise with the Hospital Manager to order supplies and stationery as needed.
6. Donations and Vouchers:
- Issue thank you letters for significant donations.
- Create and issue Nocturnal/Day Tour vouchers.
- Issue adoption certificates.
7. General Duties:
- Perform general office duties.
- Provide support to the Hospital Manager and the hospital as needed.
Requirements:
- Excellent communication and organisational skills.
- Ability to work with a diverse range of volunteers.
- Ability to multitask and manage time effectively.
- Proficient in Microsoft Office Suite.
- Friendly and welcoming demeanour.
- Previous experience in a similar role is preferred but not essential.
