The Payroll Officer is responsible for the comprehensive management of all payroll processes. They handle the fortnightly processing of payroll for all employees—ensuring that all calculations for benefits, bonuses, taxes, pension contributions, and other deductions are accurate and compliant with relevant laws and regulations.
The role requires maintaining payroll records, addressing discrepancies, and responding to employee enquiries about payroll matters. Additionally, they prepare and submit detailed payroll reports to both management and external entities like the Australian Tax Office, and work closely with the HR and finance teams to ensure payroll practices are aligned with the school's overall staff management and financial strategies.
They are also involved in developing and refining payroll policies and procedures to boost efficiency and compliance, and they provide necessary training and support to other staff on payroll-related issues. The role mandates a strict adherence to confidentiality and the secure management of payroll information.
Responsibilities and Accountabilities
Payroll
- Process payroll for all employees (full-time, part-time, and casual) on a fortnightly basis.
- Maintain accurate payroll records and employee files, including leaves, deductions, and benefits.
- Calculate and process payments for employee benefits, bonuses, and other forms of compensation.
- Administer deductions such as tax, pension contributions, salary packaging and other statutory and non-statutory deductions.
- Resolve payroll discrepancies and answer employee queries related to payroll.
- Prepare and submit payroll reports and summaries to management and external entities such as tax authorities.
- Coordinate with HR and finance teams to align payroll processing with overall staff management and financial planning.
- Provide training and support to other staff members on payroll-related matters.
- Manage and safeguard the confidentiality of payroll operations and employee information.
- Preparation and reporting on annual payroll budget and forecasting.
- Workers Compensation - submit claims, review annual returns renewals and premium adjustments
- Filing & archiving of all paperwork is to be done in an accurate & timely manner.
Compliance
- Interpretation of relevant employment agreements and awards that apply to staff employed by the School
- Assist with the development and implementation of payroll policies and procedures to improve efficiency and compliance.
- Ensure compliance with all applicable laws and regulations related to payroll processing.
Accounts Payable (as required)
- Support the Accounts Payable Officer in processing invoices
- Processing of Purchase Orders and coordinate delivery with suppliers
- Matching goods received with Purchase Orders and follow-up any discrepancies
- Input invoices into TassWeb
- Print cheques for signing
- Handle Creditor enquiries and resolve discrepancies
Other Duties
- Other duties as required by the Business Manager
- You may also at times be required to work within other areas of the School
Selection Criteria
The successful applicant will have:
- Demonstrated experience in accurately processing payroll for greater than 200 employees and proficiency in using payroll software such as TASS, MYOB, Xero, QuickBooks, or similar systems.
- In-depth understanding of Australian payroll laws, regulations, and compliance requirements and experience in interpreting Awards and EBA's .
- Ability to investigate issues/payroll related questions and find solutions
- A degree, diploma in accounting, finance, business administration, or a related field or equivalent experience.
- Demonstrated ability to communicate across all levels of an organisation including the ability to work independently and collaboratively as part of a team
- Demonstrated ability/experience in meeting regular deadlines (deadline focused)
- Experience with compliance reporting, including leave provisions, Single Touch Payroll (STP) reporting to the ATO.
- An understanding of and commitment to the Anglican Christian ethos of the School.
