Our Maintenance and Industrial Services division specialises in the planning, management and execution of maintenance, shutdowns and sustaining capital works.
We are seeking a Personal Assistant to join our Maintenance and Industrial Services division supporting the General Manager of Mining & Minerals for our Southern Region. This position will undertake a range of administrative duties including travel bookings, calendar management, operational support and events coordination for the leadership team. The successful candidate will be a genuine, open-minded professional who enjoys building relationships and problem solving.
Key responsibilities
- Provide administrative and secretarial services directly to the General Manager including diary/email management and travel coordination
- Prepare and distribute a range of reports, presentations and various document formatting
- Maintain and update records in SharePoint and other Monadelphous pages
- Provide operational support to all sites within the Southern Region BU as required
- Provide a timely response to information requests from clients, suppliers, divisional services and the project teams
- Liaise with various stakeholders to plan and organise events, workshops and conferences
- Maintain timesheets, expense claims and business cards for the management team
- Receive, screen and monitor incoming telephone calls
- Build and maintain good rapport with key internal and external stakeholders
- Expenditure management and reconciliation
- General administration tasks including amenity procurement and IT management

What you will bring
- A minimum of 3 years' experience in a PA/EA role or equivalent transferable skills
- Advanced knowledge with Microsoft Office Suite (Word, Excel, PowerPoint, Teams & SharePoint)
- Confidence and professionalism dealing with all levels of management
- Build and maintain strong relationships across the business
- Demonstrate consistency in delivery and strong ability to be resilient
- Maintain a high level of confidentiality and discretion at all times
- Strong attention to detail with a solutions-focused mindset
- High level of time management and being adaptable with fluctuating workloads
