Xplore Resources is seeking a Personal Assitant/Administration Officer to support the CEO and business. The job description would require you to:
- Organise and manage emails, prioritising correspondence and responding when appropriate.
- Communicate effectively with staff and clients on behalf of the CEO, ensuring professionalism and confidentiality.
- Maintain and organise the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
- Take accurate minutes during meetings and prepare comprehensive action plans to ensure follow-up on decisions made.
- Organise and maintain office supplies and equipment, ensuring the office is stocked and operational.
- Support the personal administration tasks of the CEO, handling sensitive information with the utmost discretion.
- On occassion drive or travel with the CEO to meetings as required ensuring punctuality and professionalism.
- Coordinate team events and functions, fostering a positive and collaborative office culture.
- Check and organise staff timesheets, ensuring accuracy and adherence to company policies.
- Possess a high level of discretion and confidentiality when handling sensitive information.
- Exhibit excellent communication skills, both written and verbal, with the ability to interact effectively at all levels.
- Demonstrate flexibility in adapting to changing priorities and tasks in a fast-paced environment.
- Proactively take initiative and work independently, anticipating needs and solving problems as they arise.
