Job description

The Catholic Diocese of Townsville was established in 1930 and it covers an area extending from Townsville, to the Whitsunday and Burdekin regions , to Ingham and Halifax,  Winton and encompassing Mount Isa and several small, isolated western towns.

The Catholic Diocese of Townsville is seeking applications for an Administration Officer in this newly created position. This position will work 37.5 hours per week on a full time permanent basis located at our Townsville Office. This position is Monday to Friday working 8:30 am to 5:00pm. 

The role is responsible for working collaboratively as part of an administration team within the Diocesan office to help support the wider administrative needs of the office. This role will be directly responsible for supporting the administrative needs of the Diocesan Directors and the provision of front reception support.  

Duties include but are not limited to; 

  • Provide executive support to 3 (three) Directors in the Diocesean Senior Leadership team
  • Coordinates the administration of the allocated Director’s office
  • Maintains the allocated Director’s appointments and diary including travel arrangement, assisting with event organisation and organising catering as required
  • Prepares reports, briefing notes, memoranda and correspondence including proofreading
  • Coordinates with other Diocesan employees on matters relating to the allocated Directors  including arrangement of meetings, providing, and gathering information
  • Manage events such as employee gatherings, providing catering for employees and appropriate information to the allocated Directors
  • Assists in researching and assembling information for the allocated Directors
  • Maintains confidential files and documents
  • Undertaking front reception duties including answering calls, queries, welcoming visitors, processing mail and ordering supplies
  • Provide generalist Information Technology (IT) support to staff with requests or minor problems that may not require a logged request to  IT Service (e.g. assisting staff to book meeting rooms, connect devices to printers, difficulty in connecting in zoom/teams meetings etc
  • Support the office in administration, inclusive of managing timetables, room bookings and calendars

Requirements

  • Certificate III in Business Administration or similar (preferred)
  • Previous experience in an administrative based position preferably in an Executive Assistant capacity
  • High level of computer literacy including the Microsoft and Google suites specifically excel
  • Attention to detail and a high level of accuracy
  • Strong organisational and time management skills to prioritise workloads, meet deadlines and use initiative
  • Ability to maintain a high degree of professionalism and confidentiality in all areas of work
  • Paid Working With Children Check 
  • Ability to pass a National Criminal History Check
  • Drivers Licence
