Job description

We are a well-established boutique accounting firm located in Noosaville, providing expert taxation, accounting, and business services to a diverse clientele across various professions and industries. We are seeking an experienced and dynamic Practice Manager to join our dedicated and friendly team. 

Key Responsibilities: 

  • Efficiently handle telephone calls and message taking. 
  • Warmly meet and greet clients upon arrival. 
  • Manage the diary, including scheduling appointments. 
  • Monitor incoming emails and manage correspondence. 
  • Handle all aspects of mail, including collection, sorting, and outgoing correspondence. 
  • Organize filing and scanning of documents. 
  • Maintain and update client database regularly. 
  • Manage invoicing and ensure timely collection of payments. 
  • Process tax assessment notices and lodgment of ATO forms. 
  • Handle the processing of Annual ASIC Company Statements. 
  • Manage new and existing client engagements. 
  • Monitor work in progress, job completion, and turnaround times. 
  • Manage timesheets, time allocations to budgets on jobs, and productivity. 
  • Oversee our administration and quality review functions. 
  • Provide comprehensive administrative and HR support as per business requirements. 
  • Assist with financial planning tasks, including: 
    • Fee Disclosure Statements and ongoing client management. 
    • Booking both client and fund manager meetings. 
    • Preparing portfolio reviews and other relevant documents for Advisers. 
    • Completing investment and product application documentation. 
    • Liaising with third parties and other financial service providers. 
    • Handling other related tasks as required. 

Skills & Experience Required: 

  • At least 2 years of experience in a similar role, ideally within an accounting & Financial Planning practice. 
  • Proficiency with Xero Practice Manager, CAS 360, Xero & XPM. 
  • Strong competence in Microsoft Office applications. 
  • Exceptional communication skills and telephone manner. 
  • Attention to detail and a commitment to high-quality work. 
  • Professional presentation and the ability to work collaboratively in a team. 
  • Experience in office administration covering all areas of an accounting practice.
