We are a well-established boutique accounting firm located in Noosaville, providing expert taxation, accounting, and business services to a diverse clientele across various professions and industries. We are seeking an experienced and dynamic Practice Manager to join our dedicated and friendly team.
Key Responsibilities:
- Efficiently handle telephone calls and message taking.
- Warmly meet and greet clients upon arrival.
- Manage the diary, including scheduling appointments.
- Monitor incoming emails and manage correspondence.
- Handle all aspects of mail, including collection, sorting, and outgoing correspondence.
- Organize filing and scanning of documents.
- Maintain and update client database regularly.
- Manage invoicing and ensure timely collection of payments.
- Process tax assessment notices and lodgment of ATO forms.
- Handle the processing of Annual ASIC Company Statements.
- Manage new and existing client engagements.
- Monitor work in progress, job completion, and turnaround times.
- Manage timesheets, time allocations to budgets on jobs, and productivity.
- Oversee our administration and quality review functions.
- Provide comprehensive administrative and HR support as per business requirements.
- Assist with financial planning tasks, including:
- Fee Disclosure Statements and ongoing client management.
- Booking both client and fund manager meetings.
- Preparing portfolio reviews and other relevant documents for Advisers.
- Completing investment and product application documentation.
- Liaising with third parties and other financial service providers.
- Handling other related tasks as required.
Skills & Experience Required:
- At least 2 years of experience in a similar role, ideally within an accounting & Financial Planning practice.
- Proficiency with Xero Practice Manager, CAS 360, Xero & XPM.
- Strong competence in Microsoft Office applications.
- Exceptional communication skills and telephone manner.
- Attention to detail and a commitment to high-quality work.
- Professional presentation and the ability to work collaboratively in a team.
- Experience in office administration covering all areas of an accounting practice.
