Practice Manager (Psychology Practice) – Full-time/Part-time
We are a thriving psychology practice looking for a warm, friendly, and motivated Practice Manager to join our team. We are interested in applicants looking for full-time work, but are also open to those looking for part-time work as we may be able to accommodate job sharing for the right people.

Anona House, located in Hamilton, provides psychology and psychiatry services for people of all ages. We operate out of a beautiful, heritage listed house that includes 5 consulting rooms and staff parking. About the Role
As the Practice Manager you are a critical member of our team and play a vital role in creating a welcoming experience for our clients. The Practice Manager provides administrative and Reception support for 5 consulting rooms from 9-5 Monday to Friday, with a possible early finish on Friday once the work for the week is complete.
Responsibilities include:
- Outstanding level of customer service
- Interacting with clients in-person, on the phone and email, greeting and assisting with their enquiries
- Diary management for our team of clinicians
- Processing payments on merchant terminal and online
- Processing Medicare and DVA rebates
- Management of third-party invoices and remittance advices
- Management of client referrals and session limits for Medicare and other approved types of funding
- Liaison with referrers and other third-parties
- Management of client records
- Filing documents
- Incoming and outgoing correspondence
- Basic marketing tasks
About You
We are seeking someone who has a warm and caring nature, who is committed to creating a positive experience for our clients. Someone who takes pride in their work and has the ability to use their initiative to manage the running of the practice.
Someone who has:
- Patience and understanding for our clients with mental health difficulties
- Previous experience in working as a Practice Manager, health/medical admin/receptionist role
- Previous experience with using online appointment diary software (We use Powerdiary)
- Able to self-manage tasks that need to be completed each day
- Ability to take initiative in completing tasks and identifying changes that could improve the overall running of our Administration and services
- A friendly and positive ‘can do’ attitude
- Strong organisational and time management skills
