Bismark Street Family Practice is looking for an experienced Practice Manager (negotiable 30 to 38 hours per week) to provide leadership and support to our fabulous admin team and excellent customer service to our patients. You must have prior senior administrative experience in a medical setting & Medicare Billing knowledge to be considered for this role. Start as soon as possible.
You will have time away from the front desk to attend to staff management and higher-level administrative duties. You will also have the opportunity for patient engagement while you provide cover for a shift or two at the front desk or more when other staff take leave.
We are looking for someone who can guide staff to ensure a consistent approach to workflows, support our private billing policy, and help facilitate the team's ongoing training. The clinic achieved re-accreditation in Mid-2022, and well-documented procedures are already in place.
What's involved
- Supervise, support, and guide our reception team.
- Performance review and HR management
- Rostering of staff using Deputy & managing leave.
- Appointment diary management.
- Implementing new procedures as necessary.
- Processing of third-party reports & WorkCover claims.
- Follow up of held accounts.
- Debtor Management.
- Management of billing and resolution of claims exceptions.
- Act as the first port of call for complaints.
- Some regular medical reception duties, as well as cover during times of staff, leave. This will include opening and closing shifts (clinic hrs. 7.30 am to 5.15 pm) and a shared Sat 8.30 am to 2.30 pm about once every 4 to 6 weeks.
- Management of Medical Student schedules.
- Reconciliation of Best Practice Receipts to Xero Bank Feeds and data entry of business-related invoices to Xero.
- Invoicing allied health providers for room rental.
- Accreditation preparation (next due 2025)
- Management tasks in Proda, including filing PIP/WIP statements on time.
- Reporting to the two medical owners, on operational and business matters as required.
What we need you to bring…
You will be someone who has strong GP based medical administration experience (at least 3+ years), but who also is able to demonstrate leadership skills in this environment. To suit this role, you will enjoy the mix of management and reception work and not be afraid to pitch in to help your team where necessary. You will be motivated to get things done in a busy environment and able to complete tasks in a timely fashion.
- You will need excellent communication skills and be able to communicate effectively with all stakeholders. You will be empathetic, but also able to handle the sometimes difficult conversations with staff or patients in a professional manner.
- Strong computer skills- confidence in using practice management software and MS Office applications such as MS Word and Excel. Best Practice experience is highly desirable.
- Thorough knowledge of Medicare item numbers and billing rules.
