True North Psychology is a psychology private practice in the leafy-green, inner-city suburb of Wilston, Brisbane. We are a team of highly dedicated health professionals known for our commitment to quality client service whilst remaining true to our core values of compassion, respect, support and effectiveness. Our experienced administration team look after 24 psychologists Monday – Saturday.
We are looking for an experienced Practice Manager to lead our administration team for a period of 18 months in a Maternity leave cover position.
Tasks & responsibilities
HR
- Recruitment and onboarding of new administration staff
- Induction for new psychology staff
- Orientation and liaison with room-renters
- Line management of administration staff
- Communication and negotiation with psychologists and room-renters
- Scheduling and chairing monthly administration team meetings
- Rostering of administration team
- Reviewing team workload/delegation of tasks
- Performance reviews and management of administration team
Administration
- Fortnightly and monthly reporting on business / staff/ psychology KPI’s
- Compliance monitoring (Medicare, NDIS, DVA, 3rd party payers, Fair Work)
- Dynamic diary management and wait list management
- Development and review of policies and procedures
- Resource stocktake and ordering
- Communication and liaison with other businesses and professionals (e.g. real estate, accounting, tradespeople, cleaners etc.)
- Using Halaxy client management software for bookings
- Taking Eftpos payments
- Making and adjusting patient appointments
- Printing/photocopying/scanning/faxing
- Light cleaning duties
Accounting
- Weekly reconciliation
- Invoicing contractors, 3rd party payers
- Organising fortnightly pay run
Marketing
- Establishing and maintaining relationships with key referrers and stakeholders
- Preparation and dissemination of marketing materials
- Organising regular marketing events with local referrers
Qualifications & experience
- Previous experience in allied health/medical practice management essential
- Completion of a course in Practice Management desirable
- Demonstrated experience managing a team essential
- Clear communication, negotiation skills, conflict resolution skills, responsiveness to change
- Able to convey warmth and humour whilst being appropriately assertive with both staff and clients
- Ability to work autonomously, prioritise and organise tasks effectively, excellent time management and organisational skills
- Working knowledge of health professional and support services award, knowledge of current Australian HR policies, practices and procedures
- Proficient in use of Xero accounting software
- Knowledge and experience in using Mac computers, Microsoft Word and Excel (including proficiency in formulas in spreadsheets), client management software (Halaxy desirable)
- Capacity to problem-solve (e.g., IT, Eftpos, Medicare, Private Health insurance, air-conditioning etc)
- Ability to research and seek new information in appropriate channels
- Understanding of the necessity of confidentiality
