Position Overview:
We are excited to introduce a new opportunity for a Practice Manager/Senior Receptionist to join our Brainfit Kids team on a permanent part-time or casual basis. This role will play a pivotal part in the establishment and growth of our practice, with a focus on rostering, NDIS coordination, and providing essential support to the practice owner. The ideal candidate will be proactive, highly organized, and passionate about making a positive impact on the lives of children and families.
Key Responsibilities:
- Rostering and Staff Management:
- Develop and maintain staff schedules and rosters to ensure optimal coverage for our programs and services.
- Coordinate staff availability, leave requests, and last-minute scheduling changes with efficiency and flexibility.
- Communicate effectively with team members to ensure clear understanding of their roles and responsibilities.
- NDIS Coordination:
- Serve as the primary point of contact for NDIS participants, families, and support coordinators, facilitating the delivery of allied health services.
- Ensure compliance with NDIS guidelines and documentation standards, maintaining accurate records and reports.
- Executive Support:
- Act as the "right hand" to the practice owner, providing comprehensive administrative support and assisting with strategic initiatives.
- Assist with the development and implementation of policies, procedures, and quality improvement initiatives.
- Client Services:
- Provide exceptional customer service to clients and their families, addressing inquiries, scheduling appointments, and resolving issues promptly and professionally.
- Coordinate the intake process for new clients, ensuring a seamless transition from initial contact to program enrolment.
- Maintain confidentiality and sensitivity when handling client information and concerns.
- Administrative Operations:
- Oversee the daily administrative functions of the practice, including reception duties, billing, and invoicing.
- Utilize practice management software to maintain accurate client records, manage appointments, and generate reports.
- Streamline administrative processes to improve efficiency and effectiveness, identifying opportunities for continuous improvement.
Qualifications and Skills:
- Previous experience (at least 2 years) in an administrative role within the healthcare industry, with exposure to rostering and NDIS coordination.
- Knowledge of NDIS guidelines and documentation standards, with the ability to navigate NDIS portals and systems.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively in a dynamic environment.
- Strong interpersonal and communication skills, with a focus on delivering outstanding customer service.
- Proficiency in using practice management software and other relevant computer applications.
- Proactive attitude, with the ability to work independently and collaboratively as part of a team.
- Relevant qualifications in healthcare administration or a related field are desirable.
