An exciting opportunity exists for a Production Coordinator to join our team and support our Group Chief Winemaker and Production team with coordinating wine production, scheduling, general purchasing and bulk wine and dry goods logistics. This role will perform the administrative and record keeping duties associated with the Production function. This position manages Handpicked Wines local and international wine production with support from winemaking, marketing and finance teams.
Reporting to the Group Chief Winemaker responsibilities include:
- Work with Logistics to ensure international wine SKUs are freighted on completion and ensure SKU closure in a timely fashion so supply data accuracy is achieved
- Reconciling and inspecting dry goods and finished goods received at the external contract bottling sites and internal wineries
- Scheduling and booking freight movements for bulk wine and dry goods
- Production software data management - ensure accurate bottling and dry goods purchase data capture in SAGE
- Develop production schedules (supported by Winemakers) and assist with annual budgets and cash flow (supported by Finance)
- Forecast and plan annual dry good requirements and restock as required
- Develop and manage new labels with Quality Control focus ensuring accuracy of information, legal compliance, dimensions, and application of printing specifications.
- Create and update SOP’s for the production functions to ensure external contract bottlers fulfil packaging requirements at distribution warehouses
- Ensuring receivals and freight of dry goods and finished goods are in time with the weekly schedule for production runs
- Updating production bottling information (receivals, movements, etc.) and ensuring records align with the scheduled production runs
- Assist the winemaking site team managers to create and reconcile purchase orders for winemaking consumables, and winemaking assets
- Manage the bottling schedule and liaise with internal and external stakeholders to conduct scheduled bottlings
- Reconcile post bottling reports (including bottled stock and dry goods consumption)
- Resolve bottling issues, conduct post bottling review and address any shortfalls or issues post bottling
- Reconcile and ensure dry goods inventory management and records are aligned with internal records
- Maintain the relevant documents required for relevant organic bodies, Sustainable Wine Australia, and APCO
- Develop reporting structure for relevant departments to submit information required for the APCO annual report
- Assist Procurement Manager to provide production costings for review as required
- Manage dry goods purchasing process to ensure best price is achieved for the quality level required
- Manage dry goods and production related supplier selection process, relationship, and price negotiation and records
