SUMMARY OF ROLE
The primary purpose of the role is to ensure all the production orders are operated smoothly. This is a general description and will vary on the nature of the production planning and Customer Service but will include liaising with each department for production issues and meet all the deadline of orders.
1.Order Processing and Management
- Oversee the entire order cycle to enhance business development and ensure sustainability and customer satisfaction.
- Process client orders with precision and ensure they are entered into the system with complete accuracy.
- Regularly review and analyze orders for any discrepancies or special requirements.
2.Client Communication and Support
- Serve as the primary contact for client inquiries related to orders, providing timely and accurate information.
- Build and maintain strong, long-lasting client relationships.
- Proactively inform clients of order status, inventory levels, and product information.
3.Production Planning and Coordination
- Liaise with the production team to align client orders with production schedules.
- Assist in production planning by providing insights on client priorities and deadlines.
- Participate in production meetings to discuss challenges and forecast future order volumes.
4.Work Order Scheduling
- Update the production scheduling spreadsheet according to the weekly rolling demand forecast
- Plan and generate the daily production orders
- Monitor the daily productivity and adjust the production plan accordingly
- Monitor the packing materials availability daily and generate the stock transfer request from the warehouse to production plant
5.Stock Transfer Generation and Releasing
- Confirm the components availability via the BOM from SAP
- Check whether the required packaging material location and quantity are sufficient for the work order
- Confirm the final available quantity and send it to the warehouse
6.Change and Close Work Orders
- Update the final production quantity of the day according to the actual productions
- Incomplete production work order needs to be updated in SAP
- Close the work order in SAP once the required quantity is completed
6.Packaging Material Follow-up
- Communicate with Material controller for the out-of-stock packaging materials and raw materials, and follow up on the ETA
7.Production Job Request & Warehouse Job Request
- Depends on the jobs and request the production or warehouse team to complete the ad hoc tasks
- Raise stock transfer
- Check and confirm the work spec
8.Issue Resolution and Problem-Solving
- Identify and resolve any issues related to orders, including delays, quality concerns, or miscommunications.
- Implement corrective actions and strategies to prevent recurrence of similar issues.
- Escalate unresolved issues to appropriate internal teams for action.
9.Reporting, Documentation, and Record Keeping
- Maintain comprehensive records of client interactions, orders, and all communication.
- Develop and present regular reports on order status, challenges, and client feedback to management.
- Analyze data to identify trends, forecast needs, and improve service delivery.
10.Continuous Improvement and Feedback
- Gather client feedback to improve services and enhance customer satisfaction.
- Recommend improvements in products, services, and processes to higher management.
