How will I help?

The collections program is in place to lay foundations for a single collections platform which will replace multiple collections systems across the group. This role is within the program delivery team, working closely with the various key stakeholders and assist in key deliverables as per responsibilities assigned by the Program Director or their delegate.

This is a 6 month max-term position.

The Program Coordinator is responsible for supporting the Program Director, Program Manager, Program Leads and team to achieve delivery outcomes through application of Westpac's delivery framework, practices and principles, managing and liaising with stakeholders in a variety of roles and coordination across the broader program/ portfolio.

Your key responsibilities include:

  • Support the Project/ Program Managers within a portfolio.
  • Administrative support to Project/Program team covering scope, schedule, time, cost, quality, and RAID management.
  • Support Program management and Project team in admin support, diary management, particularly as it relates to working groups, workshops, Steer Co's, and key engagement sessions.
  • Supporting leadership team with preparation of presentation materials, documenting and tracking minutes and action items, supporting the team in progressing action items to closure.
  • Completion of weekly, fortnightly, monthly, and quarterly governance reporting as required.
  • Support onboarding and offboarding of program resources and conduct program inductions.
  • Set up reporting requirements and rhythm with team to ensure no people requirements (Eacademy, Motivate, Safe and Sound etc.) are missed.
  • Set up and management of all Distribution Lists.
  • Setup and coordinate monthly Town Hall meetings.
  • Management of all P cards and project team expenses.
  • Manage all Travel and accommodation requirements for team as necessary.
  • Manage and administer Jira, SharePoint and Confluence.
  • Manage and/or support communications through program communication channels email, Teams etc and ensure engagement with broader team.

What do I need?

To be successful in this role, you will need excellent written and verbal communication skills, strong stakeholder management experience and be self-driven. In addition to this, your skills may include:

  • Previous project or program coordination experience is essential
  • High attention to detail and a proactive attitude.
  • Strong time management and organisational skills.
  • Professional verbal and written communication skills.
  • Experience working with all levels of stakeholders.
  • Strong proficiency in Visio & MS Project
  • Background with Financial Services (or aligned industries) preferred.
