Our Program & Office Coordination team is focused on providing positive experiences to all Starlight Team Members, stakeholders and supporters. We are seeking a proactive and organised individual to join the team, based in our North Sydney office. This role is a Part Time position (4 days a week) reporting to the Program & Office Coordination Manager.
As the Program & Office Coordinator you will use your high levels of customer service skills to provide awesome experiences in supporting our employees (your fellow Starlight team members), office visitors and of course all things administration.
A typical week in our Program Coordinators life will look like:
- Being the go-to for hospital program and office administration support
- Participating in projects and supporting the programs and office-based teams
- Ensuring meeting rooms and stationery rooms are organised.
- Proactively making sure the office is looking its best
- Maintaining and restocking office supply orders, including kitchen orders, stationary and printer items
- Packaging hospital program supplies and booking couriers e.g. art & craft material (lots of creative & fun orders for the kids in hospitals!)
- Preparing meetings (catering, water, coffee) and set up of video conferencing & clearing rooms after meetings
- Arranging domestic travel & itineraries
- Completing monthly expenses reconciliations
- Database management & assisting with reporting
You are a great communicator and have a knack for being super organised. Along with this the successful candidate will have:
- Demonstrated administration and customer service experience
- Enthusiastic, authentic and proactive approach
- Great with tech, particularly Microsoft Word, Excel and PowerPoint
- Experience with database and web-based applications, CRM systems
- Building relationships with internal and external stakeholders
- Ability to manage multiple priorities calmly within a diverse role
- Confidential and able to always act with diplomacy and discretion
Note: An exciting part of this role is visiting our Hospital Programs so does require the coordinator to have a driver’s license
